Summary:
The Facilities Manager manages all daily aspects of KIC's residential and commercial rental properties. Responsibilities include leasing, tenant screenings, rent collection, and to ensure tenants comply with KIC's Residential Rental Policies. This position maintains cleanliness and order of KIC building and premises.
The Facilities Manager plans, budgets, and schedules facility modifications, including estimates on equipment, labor, materials, and other related costs. The position requires the employee to be on-call to address any tenant or property emergent situations.
Responsibilities:
- Supervises and directs all operations and personnel of the Facilities Management team and external sub-contractors.
- Acts as point of contact for KIC for managing the tenant / property owner relationship; responds to all tenant concerns in a positive and constructive manner. Address tenant complaints, violations, and concerns.
- Prepare and maintain all records, correspondence, and files.
- Prioritizes, directs, and delegates maintenance requests for KIC commercial and residential rental properties.
- Develops annual preventative maintenance schedules and budgets for all KIC commercial and residential rental properties.
- Responsible to ensure staff is appropriately trained and certified on preventative maintenance and life-safety items.
- Coordinate ongoing maintenance and inspections to comply with all relevant laws, codes, and company policies.
- Advertises and solicits rental applications for residential and commercial properties.
- Prepare, administer, and analyze operations, and maintenance budgets for KIC FM.
- Work with insurance companies and brokers to ensure coverage of all KIC properties.
- Collect rent payments, pay invoices, and analyze operating statements.
- Report on KIC FM performance at monthly Board of Director meetings.
- Assist in the collections of account receivables in cooperation with the KIC accounting department.
- Provide a safe, clean, comfortable, and congenial atmosphere for the residents of the properties.
- Respond to all tenant calls, and concerns in a timely manner.
- Distribute notices to tenants as deemed necessary.
- Promote quiet enjoyment to tenants if there are noise disturbances or noise complaints.
- Other duties as assigned.
Requirements:
- High School Diploma/GED.
- Customer service and interpersonal skills needed to meet with prospective and current tenants.
- Good verbal communication.
- Attention to detail to ensure applications are accurate and tenant issues or questions are accurately addressed.
- Property management and maintenance experience preferred.
- Familiarity with the Alaska Landlord Tenant Act, experience with lease agreements, eviction processes, and collection agency processes.
- Must be able to work independently with minimum supervision.
- Ability to learn property rental software programs.
Working Environment:
The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The position is fast paced in a multi-tasking environment requiring regular attendance. Work is on a full-time basis. Employee may work overtime hours and will be required to be on-call in the event of an emergency at a commercial or residential property. While performing job duties, the employee may be exposed to moving mechanical parts, fumes or airborne particles, and toxic or caustic chemicals.

- Required to work standing up, walk, use hands and fingers to operate tools, equipment, and cleaning supplies.
- Must be able to sit for prolonged periods of time at a computer.
- Entering text or data into a computer or other machine by means of a keyboard.
- Review and file documents into filing cabinets.
- Speak and listen, both over the phone and in person to customers and co-workers.
- Frequently required to reach with hands and arms and stoop, kneel, crouch, or crawl.
- Occasionally required to work in a seated position, climb or balance and taste or smell.
- Occasionally lift and/or move up to 25lbs.
- Vision requirements include: close, distance, color, peripheral, depth perception, and ability to adjust focus
