About the Job
As the Facility Administrator & Financial Analyst, you will support VDC Financial steering, forecast and budget, financial reconciliations, and accruals. You will assist with budgetary and forecast planning and support the VDC Manager as required with all other administrative duties as well as track, analyze and report on operational costs. You will lead team members to achieve maximum efficiency and cost control. You will create purchase requisitions, purchase orders, perform goods receipts and communicate with vendors while reconciling all billing/invoicing for facility purchases and services.
You will also lead the discussion for purchasing with account managers and direct vendor on process for invoice reconciliation and will interface with account managers to procure operational equipment and supplies needed for the VDC. As the administrator, you are responsible for all support functions regarding communication, time administration, employee concerns and interdepartmental contact. You will handle confidential information and safeguard privacy. You develop procedures and local policies for activities, such as the preparation and processing of payroll, procurement /payment for goods and services, records maintenance and other VDC associated internal operations. You also supervise vendor contracts for maintenance and security for VDC operations and review financial project costs with each vendor for accuracy and delivery from a financial steering and process perspective.
You will drive operational policy compliance for attendance and time off while maintaining employee calendars ensuring accuracy for disciplinary actions and available PTO. You will run reports and discuss coaching and disciplinary action items needed, policy topics and reviews with each manager.
Additional requirements include but not limited to:
- Manage Baltimore VDC mailbox and follow up on process or associate concerns.
• Lead and support events for VDC facility and associate engagement
• Participate in VDC leadership team development training and workshops
• Drive topics in VDC Administrator circle meetings for improvements and share knowledge
• Co-facilitate environmental Sustainability team and or Safety team, Health and Safety administration.

The salary pay range for this role is: $65,070 - $76,210.
The selected candidate's education, skills, experience, and location will be used to determine the final salary offer. All pay ranges are based on a full-time work schedule. This statement is in accordance with state and local pay disclosure requirements.

- 1 year Accounting and Finance experience, for example P Card reconciliation, invoices, PR to PO creation, and
- 1 year payroll experience, entry and tracking, error resolution
- 1 year Vendor / Account Management experience
- Proficient in the use of Microsoft Office, Excel and PowerPoint specific proficiency.
- Organization, excellent written and verbal skills, ability to communicate professionally.
