Function/Duties of Position:This position provides critical administrative support to the education of cardiology and subspecialty fellows by coordinating and assisting with complex tasks throughout the academic year. This position supports 5 ACGME fellowship programs within the Knight Cardiovascular Institute (KCVI): Cardiovascular Disease, Adult Congenital Heart Disease, Advanced Heart Failure & Transplant Cardiology, Clinical Cardiac Electrophysiology, and Interventional Cardiology. This position manages the Preventive Cardiology medical student elective in collaboration with the Preventive Cardiology providers and the School of Medicine UME administrators.
Duties include:
- Provides complex technical administrative support to 5 ACGME fellowships and Education Manager throughout the academic year
- Routinely verifies fellow and faculty schedules to ensure consistency between various systems
- Monitors faculty and fellow evaluation completion/submission in MedHub. Follow up when evaluations are not submitted in a timely manner
- Assists with the organization of multiple Committee meetings to include meeting preparation, scheduling biannual meetings, taking meeting minutes, and reporting
- Assists with onboarding and offboarding of fellows
- Assists with graduation ceremony planning
- Assists with expense processing and reinbursement
- Assists with visiting resident requests, liase with IM administrators and the GME office
- Provides on-site Grand Rounds support as needed
- Participates in general education office tasks such as timely reponses to email and phone calls, purchasing, e-filing, appointment scheduling, and updating website
- Processes training verification requests
- Maintains and update social media accounts
- Facilitates recruitment efforts for 2 non-ACGME accredited fellowships to include collecting application materials, building interview itineraries, and collecting post-interview faculty feedback
- 4+ years of general office or secretarial experience OR Associates degree with 3 years of general office or secretarial experience OR Bachelors degree and 2 years of general office or secretarial experience OR an equivalent combination of training/experience
- Minimum of 1 year of experience with lead coordination of education projects and/or programs
- Working knowledge of fellow physician education and/or residency training program processes
- Intermediate skills in Microsoft Windows environment, including Word, Excel, Powerpoint, and Outlook
- Intermediate experience in web-based management systems and web publishing software
- Experience and proficiency with online scheduling and evaluation systems for medical education purposes
- Ability to work well independently and in an open office environment with interruptions
- Demonstration of strong time management, attention to detail, prioritization, independent decision making, and organization skills
- Outstanding communication and customer service skills
- BA/BS with prior ACGME fellowship support experience
- Prior experience in postgraduate medical education and/or continuing medical education
- Advanced skills in Microsoft Windows environment
- Advanced skills in residency management systems software and web-based publishing software
