The File Clerk plays a vital role in maintaining the organization and accessibility of a company's physical and digital documents. This entry-level position is essential for ensuring that records are properly categorized, stored, and retrievable when needed. With a focus on high levels of accuracy and efficiency, the File Clerk supports various departments by managing incoming and outgoing documents and contributing to smooth operational workflows. The ideal candidate will be organized and detail-oriented, able to handle a range of filing systems and administrative tasks. As part of a larger team, the File Clerk provides foundational support that enhances productivity and enhances the overall functioning of the organization.
Key Responsibilities
Organize and maintain physical and electronic files in accordance with company policies.
Sort and distribute incoming mail, ensuring timely access to documents.
Assist in the retrieval of documents as requested by staff members.
Conduct regular audits of files to maintain accuracy and prevent loss of documentation.
Input data into computerized filing systems, ensuring all entries are accurate.
Scan and digitize physical documents for electronic storage.
Label and categorize files according to established procedures.
Assist with inventory management of office supplies needed for filing operations.
Respond to requests for information and documents from staff and management.
Maintain confidentiality of sensitive information in line with company standards.
Fulfill requests for file destruction and disposal following company policy.
Collaborate with team members to identify and implement improvements in filing processes.
Attend training sessions to enhance skills and knowledge related to file management.
Provide administrative support across departments when required.
Perform other clerical duties as assigned by supervisors.
Required Qualifications
High school diploma or equivalent required.
Previous experience in administrative or clerical roles is a plus.
Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
Basic understanding of file management systems is preferred.
Ability to work independently and as part of a team.
Strong attention to detail and accuracy.
Excellent communication and interpersonal skills.
Ability to handle confidential information responsibly.
Familiarity with basic office equipment (printers, scanners, fax machines).
Strong time management and organizational skills.
