Finance & HR Operations Assistant
Job Summary: We are seeking a highly organized and detail-oriented Finance & HR Operations Assistant to support day-to-day operations in our office. The successful candidate will manage administrative tasks, including handling accounts payable and receivable, verifying billing, data entry, assisting with payroll, and ordering office supplies. The candidate will play a key role in helping maintain smooth office operations and supporting the HR department with interview scheduling and onboarding tasks.
Key Responsibilities:
- Accounts Payable & Receivable:
- Process and track invoices, payments and other transactions ensuring accurate and timely payments.
- Manage accounts payable and receivable, invoicing clients, and following up on outstanding payments.
- Verify and reconcile billing information and ensure all financial records are accurate by entering data into company systems
- Data Entry & Record Keeping:
- Enter and update financial, employee, and office data in relevant systems.
- Maintain accurate and organized filing systems for documents, invoices, and records.
- Payroll Support:
- Assist with payroll processing by gathering time sheets, verifying employee hours, and entering data into the payroll system.
- Serve as a back-up for payroll when necessary.
- Human Resources Support:
- Assist in posting job openings on job boards and company platforms.
- Schedule and coordinate interviews with candidates and hiring managers.
- Provide administrative support in the recruitment process.
- Onboarding Assistance:
- Assist in new hire onboarding, including preparation of paperwork, orientations, and training schedules.
- Coordinate with HR to ensure smooth onboarding experience for new employees.
- General Administrative Support:
- Provide administrative support to various departments as needed.
- Assist in organizing meetings, events, and other office functions.
- Office Supplies & Inventory:
- Monitor and manage office supply inventory.
- Place orders for office supplies and ensure timely delivery.
Qualifications:
- High school diploma or equivalent (Bachelor/Associate degree in a related field preferred).
- 2+ years of experience in an office administrative role or similar position.
- Basic accounting knowledge and experience with accounts payable/receivable.
- Familiarity with payroll systems and processes is a plus.
- Prior experience with Paylocity and QuickBooks would be highly preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and data entry software.
- Strong organizational and multitasking skills.
- Excellent communication skills and attention to detail.
- Ability to maintain confidentiality with sensitive information.
