JOB SUMMARY:
Provides administrative and office support activities for supervisors and programs, and assistance with record compilation and quality assurance. Responsibilities require flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as clients and vendors.
ESSENTIAL JOB FUNCTIONS:
1. Contacts Financial Resilience clients regarding appointments and assists in scheduling/rescheduling as needed. Directs clients to appropriate service locations.
2. Assists with projects, program delivery, client outreach and scheduling. Outreach opportunities include community events and requiring occasional evenings and Saturdays.
3. Maintains documentation in an orderly manner for CARF Accreditation purposes. Assists in preparing for Accreditation and annual maintenance of documents for continuing Accreditation.
4. Appropriately interacts with agency personnel, service recipients, partners, and others while giving and receiving information regarding program participation requirements.
5. Collects and compiles information for invoicing specific funding sources, using computerized systems. Prepares reports communicating amounts remaining in specific contracts after monthly billing.
6. Retains and organizes documentation of training files using computer database system and paper files as needed. Prepares and maintains documentation for all service locations.
7. Serves as the purchasing agent for office supplies and equipment needed for Financial Resilience Programs. Maintains supplies inventory; placing and expediting orders for supplies and equipment, verifying receipt of supplies and assigns internal coding system, and submitting for approval.
8. Enters data in a timely and accurate manner into computer database systems, files and forms, and processes written materials following organizational guidelines.
9. Designs and organizes forms related to filing systems.
10. Performs a variety of program support tasks, such as photocopies, and maintains program materials, brochures, etc. as requested.
11. Certifies annually with IRS VITA Program.
12. Reviews and is familiar with Company safety policies, programs and procedures. Adheres to all safety rules, regulations and safety codes, and attends safety training sessions and safety meetings.
EDUCATIONAL REQUIREMENTS:
High school graduate with secretarial training and demonstrated proficiency using a personal computer, with similar level of experience for at least one year.
PHYSICAL REQUIREMENTS:
Balancing, talking, hearing, stooping, reaching, handling, fingering, depth perception, seeing and accommodation.
Lifting/Carrying/Pushing/Pulling: Light Work - Lifting 25 pounds maximum with frequent lifting and/or carrying of objects weighing up to 10 pounds.
OTHER JOB REQUIREMENTS:
1. Must be at least 21 years old.
2. Excellent inter-personal skills.
Must have a valid Oklahoma driver's license, with a good driving record.
3. Must maintain appropriate requirements for legal vehicle operation, including current automobile insurance and license plate.
4. Must be eligible for a positive outcome on required State of Oklahoma criminal conviction background check.
5. Maintains confidentiality and adheres to HIPAA regulations.
6. Must maintain Goodwill's Drug-Free Workplace.
7. Must be able to interact with a diverse population.
8. Must have demonstrated proficient knowledge of computer programs to include: word processing, spreadsheet, database and email functions.
