About the Job
IES Residential, Inc. is seeking a detail-oriented and organized Fleet Admin to join our team in Sugar Land, Texas. The Fleet Admin will play a crucial role in managing our fleet operations, ensuring efficient vehicle procurement, maintenance, and compliance. The ideal candidate will possess strong communication skills, attention to detail, and the ability to work collaboratively with various departments.
Key Responsibilities
New Unit Procurement
- Gather necessary information for purchasing new units, including capital expenditure details, approvals, and required documentation. Communicate effectively with division managers and dealerships.
Vehicle Disposal Management
- Process disposals based on vehicle status (leased or IES-owned), following appropriate procedures and updating relevant departments and systems.
Transfer Processing
- Manage vehicle transfers within the IES SOS system, confirming required inspections and communicating updates.
Data Entry and Management
- Maintain accurate data in the IES SOS system, including new unit entries, disposals, employee changes, and key master verifications.
Monthly Inspection Follow-Up
- Follow up on monthly inspections submitted by drivers in the timekeeper system, ensuring completion and accurate documentation.
Mileage Tracking
- Monitor and track vehicle mileage for compliance with maintenance schedules and budget forecasts, reporting any discrepancies.
GPS Tracking
- Oversee the implementation and management of GPS tracking for fleet vehicles to enhance routing efficiency and vehicle monitoring.
Accident Reporting and Insurance Management
- Manage the accident reporting process, documenting incidents and coordinating with the insurance provider for timely claims processing.
Registration Support
- Assist in the registration process, addressing issues related to tax office delays or documentation needs, and maintaining registration files.
Title Management
- Transfer vehicle titles and ensure all associated systems and files are updated.
Fuel Card Management
- Enter and update data for fuel cards, including handling fraud reports and changes related to employee departments.
Accounting Collaboration
- Collaborate with the accounting department on invoicing and address any questions related to updates and processes.
Fuel Reporting
- Generate and provide fuel reports for division managers on a monthly basis or upon request.
Toll Management
- Assist with toll-related issues, ensuring timely resolution and communication.
Fleet Communication
- Monitor and respond to inquiries in the fleet email account, ensuring effective communication within the team.
Support for Legal Documentation
- Draft necessary legal letters, such as letters of authorization or bills of sale, during vehicle disposals.
Vendor Coordination
- Work with vendors such as Bayonet, Edmonson, and KEP to provide necessary documentation and address inquiries.
FAS Information Management
- Collaborate with accounting to manage fleet-related FAS information and updates.
Project Collaboration
- Assist the fleet manager with new projects and participate in meetings to contribute to fleet operations and improvements.
- High school diploma or equivalent
- Previous experience in fleet administration is a plus.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and fleet management software
- Ability to work collaboratively in a team environment.
