We have a career opportunity for a Fleet and Facilities Administrator to join our team!
The successful candidate will:
- Manage assigned Facility and Security daily requests for all new hires and from business units. Utilize new tools to create efficiencies.
- Create, enter, and manage multiple standard and complex Purchase orders for annual Facility and Security services.
- Proactively communicate with Fleet and Facilities Engineering group on concerns or needs identified around Citizens’ facilities.
- Assist with training internal staff on Fleet, Facility and Security processes.
- Manage key request and maintain master key schematic.
- Act as a liaison between Fleet and Facilities and Business Units to solve issues with Fleet, Facilities and Security programs and software.
- Compile and maintain Department records and SharePoint page as assigned. Notify employees and Manager when updates are needed. Track DHS requirements for Elevators and Pressure vessel inspections and certifications.
- Coordinate Department meetings. Prepare agendas, follow up on notification of assignments, and meeting requests.
- Engage with Designers, Contractors, Security Guards, Engineers, Citizens’ departments, and other agencies.
- Responsible for security and facility construction projects, assuring compliance with scope, budget, schedule, and safety.
- On call rotation for afterhours Fleet, Facility and Security issues.
- Ensure all tasks are completed in an accurate, timely, and confidential manner while maintaining a high level of trustworthiness in handling private and confidential matters.
- Assist with video recovery from various CCTV company servers when requested.
- Serve as the Fleet, Facility, and Security trusted “Go-To” resource for all internal needs.

Minimum Salary: $65,400 (Grade 8)
- Serves as the initial point of communication for all inquiries, complaints, emails (internal and external), and general fleet, security (access card and keys), and facilities service requests. Manage facility, fleet, and security software programs. Completes required reports and paperwork in a timely manner or as requested.
- Provide support to the Fleet, Security and Facilities Engineering team for data collection, SharePoint, Key schematic control, security video, badge access control and to HR for new employee orientation.
- Create, enter, and manage multiple standard and complex purchase requisitions, process invoicing, and equipment receipts for the department. Assist in the preparation and participation of Scope Development, RFP’s, bid information, security guard scheduling, and other contract documents. Understands and adheres to budgets, schedules, and quality requirements.
- Represent the Fleet and Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments. Assist with “Emergency Response” team with Fire evacuation, Severe weather, and other Emergency preparedness drills.
- Contractor activities for but not limited to regular inspections of buildings, grounds, equipment, fire inspections, elevator inspections, and pressure vessel inspections to determine if facility maintenance and security services are adequate or if repair work is needed on all properties. Project management for facility and security capital projects.
- After hours on-call rotation for Emergency calls for all Fleet, Security, and Facility items.
- High School Diploma, equivalency Certificate, or sufficient education acceptable by management.
- 4 years related experience and/or training or 2 year of Citizens experience.
- Proficient with Microsoft Suite products including Excel, Outlook, Word, Visio, and PowerPoint
- Possess and maintain a valid driver’s license.
- Ability to work in office and field environment.
- Demonstrated ability to work effectively and cooperatively with others as well as work with minimal direct supervision.
- Ability to perform work duties in high pressure situations.
- Ability to establish and maintain effective working relationships with employees, outside contractors, public and staff, one on one, and in team settings.
- Constantly reviewing tasks to ensure the projects are on track and being completed.
- Organized and able to multi-task and prioritize numerous activities.
- Effective communication.
Preferred Skills/Qualifications:
- Strong analytical, problem solving, and organizational skills electronically and physically.
- An understanding of various Citizens’ systems.
- Associate degree and 2 years of facilities management experience or 4 years of facilities, fleet and/or security experience is preferred.
