Position Overview:
The Front Desk Administrator will be responsible for greeting clients, managing incoming calls, and performing various administrative tasks. You will play a key role in ensuring the smooth operation of our office and providing excellent customer service to both clients and staff. Additionally, this role will provide backup support to Project Team Coordinators, assisting with project-related tasks when necessary.
Requirements
Key Responsibilities:
- Welcome and greet clients, visitors, and vendors, ensuring a positive experience
- Answer and direct phone calls, take messages, and handle general inquiries
- Manage the front desk area, ensuring it is neat, organized, and stocked with necessary supplies
- Assist with scheduling meetings, managing calendars, and coordinating conference room bookings
- Maintain office security by following safety procedures and controlling access
- Receive and coordinate daily mail/deliveries
- Prepare any outgoing mail, UPS or Courier deliveries
- Assist with administrative tasks such as data entry, and organizing documents
- Help coordinate office events and team activities
- Provide backup support to Project Team Coordinators: assist with document preparation, scheduling meetings, coordinating project timelines, and managing project correspondence when needed
- Coordinate CEU Lunch Presentations
- Support other departments with additional clerical tasks as required
Qualifications:
- High school diploma or equivalent required; an associate or bachelor’s degree is a plus
- Previous experience in a front desk, receptionist, or administrative role is a plus
- Strong communication and interpersonal skills
- Ability to handle multiple tasks and prioritize in a fast-paced environment
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Experience working in an architecture, design, or construction firm is a plus, but not required
- Professional appearance and demeanor
- Strong organizational skills and attention to detail

Compensation is provided on an hourly basis commensurate with experience ranging from $23.00 - $25.00 hourly.
