About the Job
As the Sweetgreen Support Center Front Desk Coordinator, you will be a key member of the People Team. You will ensure the smooth operation and optimization of the physical office environment. This role focuses on creating a welcoming, functional, and efficient workspace for all employees. The ideal candidate will be the primary point of contact for office-related issues, coordinate facilities management, and support company culture through space planning and workplace services.
Office Management & Maintenance:
- Ensure that the workplace is clean, organized, and properly maintained
- Collaborate with facilities management vendors (cleaning, maintenance, security) to ensure smooth operations
- Respond to and resolve workplace-related issues (repairs, seating, utilities, etc.) promptly
Vendor & Supply Management:
- Manage relationships with external vendors (catering, supplies, office equipment) to ensure the office is well-stocked and all equipment is functional
- Monitor and manage office budgets, track expenses, and ensure cost-effective solutions
Space Planning & Optimization:
- Work with management to plan and allocate seating arrangements in line with business needs
- Support the design and layout of office spaces to promote collaboration and productivity
- Monitor office occupancy rates and make recommendations for space optimization
- Support office expansion projects, including overseeing renovations or office moves
Workplace Experience & Employee Engagement:
- Create a welcoming environment for employees and visitors by managing reception, hospitality, and employee amenities
- Coordinate employee events and activities that foster a sense of community within the office
- Create and send monthly staff newsletter
- Serve as the main point of contact for workplace-related concerns and feedback from employees, ensuring concerns are addressed quickly
Health, Safety, & Compliance:
- Ensure compliance with local health and safety regulations, managing fire drills, and safety inspections
- Maintain records of any workplace incidents and coordinate with safety officers to implement preventive measures
Administrative Support:
- Work closely with the IT department to ensure that technical equipment (printers, meeting room tech) is functional and supported
- Partner with HR to onboard new employees and ensure that they are welcomed into a well-functioning workspace
- Assist with budget tracking, process expense reports, and maintain accurate records of financial transactions
- Handle incoming and outgoing mail, packages, and courier services
Qualifications:
- Bachelor's degree in Business Administration, Facilities Management, or related field (preferred but not required)
- 3+ years of experience in facilities management, workplace operations, or office management
- Strong organizational skills with the ability to manage multiple tasks simultaneously
- Excellent interpersonal and communication skills; able to interact with all levels of the organization
- Proficiency with office software and facilities management systems
- Problem-solving mindset with attention to detail
- Ability to handle emergencies calmly and efficiently
- The role may require the physical ability to lift office equipment and supplies
- Comfortable working in a fast-paced and dynamic office setting
- Demonstrates an attention to detail regarding aesthetics and care of a shared workspace
Candidates must be in the Greater Los Angeles area and work from our office 5 days/week. This is a 6-month contract role to start.
