FRONT DESK COORDINATOR- PEDIATRIC MENTAL HEALTH PROGRAM

PRIMARY FUNCTION:
Provide general administrative support for pediatric mental health program and program support to clinical staff. Reports to Director of Pediatric Mental Health Program. Position is .8FTE (32hrs/week) Monday-Thursday, with benefits (medical, dental, vision, life insurance, 401K match, sick and vacation time, paid federal and tribal holidays). Salary $23/hr.; DOQ and experience.
ESSENTIAL RESPONSIBILITIES & DUTIES:
Schedule pediatric clients, checking in pediatric clients for appointments in electronic health record (EHR), reminder calls, sending out zoom links and documentation in EHR as needed
Managing pediatric direct phone line
Maintaining lobby i.e. refilling coffee, supplies and water
Greeting community members that enter clinic for other programs
Arrange transportation for clients and assist clients with return rides following appointments
Assist Training Manager in preparation for trainings and meetings that program hosts
Assist Data Manager with program data collection as needed
Assist with records requests and incoming faxes
Track supplies for program and request orders as needed
Create program documents i.e. flyers and posters
Outreach at community events
Assist with coordination of family nights, trainings and other program related community events
Ordering catering for events, family night, trainings and special meetings
Documentation during meetings
Organize supply room, shared office and play room (sanitize play room daily)
Attend weekly team meetings
Other duties as assigned by program director and essential to program
EDUCATION/WORK EXPERIENCE/QUALIFICATIONS:
2 years of post-secondary education and/or related experience in office management/healthcare specialty
2+ years customer service experience in health care or a professional service industry
Excellent organization skills
Time management skills and ability to multi-task
Team player who is self-motivated
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Knowledge of Office Administrator responsibilities, systems and procedures
Operational knowledge of zoom
Excellent written and verbal communication
Proven ability to listen effectively, maintain HIPAA-compliant confidentiality, and resolve patient complaints while demonstrating patience and professionalism
Dependable and displays consistent follow through
Knowledge of and/or experience working in a pediatric setting and American Indian community
