Job Title: Front Desk Lead Receptionist
Program: Outpatient Adult Services

Job Description/Summary
The Front Desk Lead has great interpersonal skills and models exceptional delivery of first impressions with a trauma informed approach. The Front Desk Lead possesses an understanding of how quality frontend operations integrates with billing and clinical, with the support of IT, Facilities, and Quality and Compliance.
Responsibilities
- Responsible for maintaining a professional environment, i.e. office free of clutter and delivery boxes, and ensuring all PHI is protected.
- Manages office equipment, and works with IT and Facilities departments to address any equipment or building issues.
- Inventories office supplies and orders through the agency purchasing system.
- Monitors the flow of incoming calls and addresses barriers to excellent client care.
- Develops a reliable schedule and workflow for appointment reminders, confirmations, and cancellation backfill.
- Works directly with Medical Support Staff to address all client needs.
- Follows proper office/building opening and closure procedures and ensures covering staff is trained on same.
- Directs support staff to assist clinical staff with administrative needs.
- Collaborates with Leaders and Staff in Substance User Services to support the integration of building functions.
- Ensures that staff schedules/office space assignment board is up to date.
- Organizes and maintains phone lists and weather/disaster communication chains.
- Work closely with the Billing Department to design, evaluate, and implement billing processes and front desk system improvements related to revenue collection.
Qualifications
- Experience: Minimum of one-year behavioral health office experience required.
- Education: HS Diploma or Equivalent, higher education a plus.
Competencies:
• Maintains appropriate boundaries and displays professionalism when interacting with clients, families, staff, pharmacy, and any other visitors to PBHG.
• Excellent organizational and problem-solving skills.
• Demonstrates the ability to follow policies and procedures as outlined in the HR Manual and Employee Handbook.
• Demonstrates familiarity with organizational policy and procedure.
