We are seeking a professional and friendly Front Desk Receptionist to join our team at our Houston Galleria Area office. As the first point of contact for visitors and clients, the ideal candidate will have excellent communication skills, a welcoming demeanor, and the ability to multitask efficiently. In this role, you will also provide support to various departments and assist with office operations. Key Responsibilities:
- Guest and Phone Management:
- Greet guests with a warm, professional attitude, ensuring they feel welcomed.
- Answer and direct incoming phone calls promptly, transferring calls as needed or taking messages.
- Administrative Support:
- Assist various departments with administrative tasks, including data entry, document preparation, and scheduling.
- Set up and clean up for meetings and conferences, ensuring rooms are properly prepared and organized.
- Mail and Package Handling:
- Receive and sort incoming mail as a backup to the receptionist.
- Accept deliveries, open packages, verify contents against packing slips, and distribute or store supplies as needed.
- Prepare outgoing packages for FedEx, UPS, USPS, and other couriers, ensuring postage is applied and the mail is delivered to the mailbox by 3:30 PM daily.
- Office Maintenance and Organization:
- Maintain cleanliness and order in copy rooms and conference rooms, ensuring supplies are stocked.
- Assist with minor IT support, such as setting up computers, connecting to servers, and troubleshooting basic issues.
- Share responsibilities for keeping the kitchen clean and stocked (countertops, sink, dishwasher, snacks, etc.).
- Office and Event Coordination:
- Manage office supply and kitchen supply inventory, placing orders as necessary to ensure the office is fully stocked.
- Assist in coordinating company events such as birthday celebrations, team outings, and holiday parties.
- General Office Duties:
- Maintain organized filing systems, both physical and digital.
- Provide backup support to the primary receptionist during lunch breaks and other times as needed throughout the day.
- Assist with special projects and other duties as assigned by management.
Qualifications:
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general office equipment (printers, fax machines, copiers).
- Ability to prioritize tasks and manage time efficiently.
- Customer service-oriented with a professional and positive attitude.
- Basic IT knowledge for simple troubleshooting (a plus but not required).
- Detail-oriented and organized.
