Key Responsibilities:

• Warm Welcome: Greet residents, visitors, and vendors with professionalism and care, embodying the commitment to providing a welcoming atmosphere in a healthcare environment.
• Efficient Check-In Management: Maintain an organized sign-in sheet for visitors and vendors, ensuring proper access and tracking of individuals in the facility.
• UPS Coordination: Manage UPS pickups efficiently between 3:30 PM and 4:00 PM CST, ensuring that all shipments are processed and recorded correctly.
• Order Management: Oversee the ordering of coffee, office supplies, and other essentials to ensure smooth daily operations.
• Administrative Assistance: Provide support to the Clinical Scheduling Team, including assembling notifications and patient notes for forwarding to customer support teams.
• Maintenance Tickets Management: Handle ticket submissions for building maintenance, ensuring all facility needs are addressed promptly and efficiently.

Weekly Duties:

• Office Maintenance and Supplies: Oversee the shredding service pickup on Thursdays; regularly check and replenish office supplies, including printer and copier paper, to maintain operational readiness.
• Recruitment Assistance: Play a supportive role in the interview process by collecting recruiting notices, contributing to the commitment to hiring top talent.

Operational Support:

• Company Vehicle Management: Coordinate the usage and maintenance of company vehicles, ensuring they are ready for use when needed.
• Office Essentials Ordering: Utilize Office Essentials for seamless procurement of office materials, helping to keep operations running smoothly.

Qualifications:

• Exceptional Communication Skills: Ability to interact with diverse populations, including residents, family members, and facility staff, with empathy and clarity.
• Organizational Skills: Strong ability to multitask and stay organized in a dynamic office setting.
