We are seeking a Front Desk Receptionist to support one of our partner clinics, EVOLV Plastic Surgery & Medical Aesthetics located in Toledo, OH.
The primary role of the position is to manage scheduling client appointments, greeting clients when they arrive and having knowledge of the services performed.
The ideal candidate will have superb patient care disposition, excellent communication skills, and is well-spoken and articulate. He/she must have flexibility in scheduling, strong analytical decision-making skills, is extremely outgoing and friendly, able to multitask, be a team player, must be comfortable with basic computer/software knowledge, have high integrity and is a quick learner with the desire to grow.
Responsibilities:
- Customer Engagement: Create a welcoming and informative environment for customers by offering in-depth product knowledge, addressing their queries, and assisting them in making informed purchasing decisions. Knowledge of all physician's credentials, and able to relay them to patients when determining purchasing decisions.
- Merchandising: Assist in maintaining visually appealing displays that highlight our products and attract customer attention. Ensure products are properly stocked and organized.
- Customer Relationship Management: Build strong relationships with repeat customers by offering personalized attention and follow-up support. Maintain a database of customer preferences for future reference.
- Promotions and Events: Support promotional activities, events, and product launches by actively engaging customers and promoting featured products.
- Team Collaboration: Collaborate with other team members and vendors to create a cohesive and customer-focused environment.
- Customer Feedback: Actively seek customer feedback and communicate insights to the Cosmetic Supervisor to improve product offerings and service quality.
- Hygiene and Sanitation: Ensure the cleanliness and hygiene of the medical spa, including sampling products and maintaining a tidy workspace.
- Scheduling: Establish and maintain contact with patients considering or awaiting cosmetic procedures. Maximize scheduling utilization by using a cancellation list, managing the lead list and CRM software, adding on procedures, etc.
- Front Desk Management Including (but not limited to) the following:
- Meet and greet patients at check in/out patients, provide new patient paperwork & consents for procedures Scheduling appointments and maintaining an appointment calendar
- Operating point of sale systems
- Suggest new ways to attract prospective customers, like promotions and monthly sales
- Facilitate online conversations with customers and respond to queries
- Report on online reviews and feedback from customers
- Assist with ordering inventory
- Maintain an organized, safe, and clean work environment
- Convert potential patients
- Contribute weekly with content creation for social media
- Assist with coordinating events, including open houses or Botox parties
- Grow email marketing database, update and maintain lists, schedule/send emails Collect and report data, provide reports weekly, monthly, or as needed
- Decorate and maintain organization in aesthetic retail and work space
- Attend and fully participate in all team meetings
- Prior Medical Spa experience preferred
