Front of House/Facilities Coordinator
Key Responsibilities
Reception Management:
- Greet and welcome visitors, clients, and staff in a friendly and professional manner.
- Manage the reception area to ensure it is tidy and presentable at all times.
- Answer, screen, and direct incoming phone calls promptly and efficiently.
- Handle incoming and outgoing mail, packages, and deliveries.
Administrative Support:
- Assist with scheduling meetings and managing conference room bookings.
- Prepare and organize meeting materials, including setting up rooms and arranging refreshments as needed.
- Maintain office supplies inventory by checking stock and ordering items as necessary.
- Assist with data entry, filing, and maintaining accurate records and databases.
- Support the Office Manager and other departments with various administrative tasks as required.
Communication:
- Respond to email inquiries and forward messages to the appropriate staff members.
- Coordinate with building management for any maintenance issues or concerns.
- Assist with internal communications, including distributing memos and announcements.
Required Skills
- Experience with office management software (e.g., MS Office, Google Workspace).
- Familiarity with scheduling tools and CRM systems.
- Basic knowledge of clerical procedures and customer service principles.
This job is an initial 6 month contract before having the possibility of becoming a direct hire position.
