Core One is seeking a Front Office Support Specialist to support the program. This position requires an active Top Secret clearance with SCI eligibility. This position is contingent upon contract award.
Roles & Responsibilities:
- Establish and maintain effective relationships and communication with representatives from internal and external staff directorates, including Headquarters Marine Corps, SOCOM, Marine Corps Installations East (MCI-E), and Marine Corps Installations West (MCI-W).
- Assist in developing and planning social functions to welcome, honor, or entertain visitors and distinguished guests for Command-sponsored or inter-unit social functions hosted by the MARFORSOC Commander.
- Coordinate with command deck staff to assess the adequacy of facilities, billeting, transportation, and other support required by the MARFORSOC Commander and his staff.
- Maintain detailed files and documentation for all front office purchases.
- Assist in implementing the Manager's Internal Control Program and conducting internal inspections related to front office functions.
- Manage daily calendars, schedule meetings, and coordinate video teleconferences.
- Assist in coordinating and managing a comprehensive protocol/Distinguished Visitor (DV) program, based on knowledge of the Command's structure and its relationships with the Department of Defense (DOD), SOCOM, Congressional delegations, other government agencies, and foreign militaries.
- Develop spreadsheets, PowerPoint presentations, and other electronic correspondence/documentation to support the front office. Prepare and review official presentations, correspondence, rosters, calendars, and schedules for accuracy, content, and adherence to Marine Corps and SOCOM administrative orders and directives.
- Prepare a monthly report on outstanding issues entered into the Marine Corps Action Tracking System (MCATS) and SOCOM Tracking Management Tasks (TMT).
- Track all incoming correspondence from Principal Staff, Special Staff, and Major Subordinate Elements, maintaining current status on correspondence as it progresses through the front office review process. Produce weekly status reports.
- Make airline, hotel, and rental car arrangements for the Commander, Sergeant Major, Deputy Commander, Chief of Staff, Deputy Chief of Staff, and the Commander's Aide, upon request.
- Prepare annual civilian performance appraisals and military fitness reports for routing to the respective command deck leader. Track the progress of these reports through the Marine Corps Automated Performance Evaluation System (APES) and the civilian human resource performance system.
- Ensure front office workspaces are properly cleaned and maintained.
- Ensure proper handling and storage of all sensitive and classified documents routed to the front office, including verifying document classification markings, securing safes at the end of the day, and safeguarding autopen signature cards.
- Prepare the Commander's conference room and Capers conference room prior to any scheduled meetings chaired by the Commander, Deputy Commander, Chief of Staff, or Deputy Chief of Staff.
Requirements:
- Exposure and familiarity with the MCATS and TMT systems.
- Strong written communication skills, with thorough knowledge of procedures outlined in the Marine Corps Style Guide.
- Thorough working knowledge of Microsoft systems, including PowerPoint, Excel, and Word.
- Very strong interpersonal skills with the ability to interact comfortably with high-ranking military personnel and Department of Defense civilians.
- Working knowledge of Marine Corps APES, civilian human resource performance systems, Marine Corps Total Force System (MCTFS), and Improved Awards Processing System (IAPS).
- In-depth knowledge of SharePoint.
- High degree of knowledge in qualitative and quantitative techniques for organizational effectiveness.
- Working knowledge of the GS Standard Labor Data Collection and Distribution Application (SLDCADA) and MCSS PeopleSoft timekeeping applications.
- Minimum education requirement of a high school diploma.
- A minimum of 4 years of military experience.
