The Senior General Manager (SGM) is responsible for overseeing the management of specific assets and ensuring client and tenant satisfaction. Their primary focus is on achieving financial results, operating objectives, and implementing strategic plans.
This position requires the SGM to be on-site. Local market requirements may vary slightly.
WHAT YOU’LL BE DOING
Operations:
- Conducting property inspections to determine necessary services and equipment.
- Assigning maintenance and repair duties to employees and obtaining bids for additional work from contractors
- Managing major construction projects and reviewing construction specifications or plans
- Administering service contracts and purchasing supplies and equipment
- Ensuring building operations are in line with company standards and procedures.
- Developing property manuals and online systems
- Implementing and updating emergency evacuation procedures and life safety systems
- Assuring compliance with company policies and procedures
Financial:
- Assisting in the preparation and review of annual jurisdictional forms and filings
- Preparing and implementing annual budgets for revenue, operating expenses, and capital expenses
- Supporting the lease administration process and reviewing lease agreements
- Managing the accounting and collection process in coordination with Client Accounting Services
- Reviewing account aging reports and taking appropriate actions
- Preparing and reviewing financial statements and reports for clients
Client/Tenant Service:
- Acting as a secondary contact for tenants and meeting with tenant representatives
- Providing necessary support and information to the property team
- Conducting periodic inventories and property condition assessments
Business Development:
- Cross-selling JLL services
- Participating in regional and national property management initiatives
- Promoting JLL's reputation and capabilities to prospective tenants and clients in the local and regional business community
- Supporting the Regional Manager in new business presentations and RFP responses
Management:
- Developing and implementing the Management Plan for assigned assets.
- Setting goals and objectives for employees reporting to the SGM
- Conducting performance evaluations and developing training programs and career paths
- Hiring and managing on-site management and engineering personnel
- Managing multiple buildings and property teams independently
- Directly supervising employees and addressing personnel issues according to JLL policies
WHAT WILL YOU BRING TO THE TABLE
Education/Training:
- Minimum of an associate or bachelor's degree required. Advanced degree is a plus.
- Industry accreditation and/or designation is a plus.
Years of relevant experience:
- Minimum of eight (8) years of commercial real estate or property management experience
- Experience in budget preparation/financial reporting, building systems, lease negotiation, documentation, and administration.
- At least five (5) years of experience managing a team of four (4) or more people.
Skills and Knowledge:
- Ability to read, analyze, and interpret legal documents, business periodicals, professional journals, technical procedures, or government regulations.
- Strong report writing and communication skills.
- Ability to present information effectively to various stakeholders.
- Proficient in financial calculations and analysis, including interpreting financial statements and calculating variances.
- Strong problem-solving skills and ability to draw valid conclusions.
- Proficient in using Microsoft Office and other necessary software programs.
- Familiarity with budgeting applications
Certifications/licenses:
- LEED AP/Accreditation preferred.
- Obtain the required real estate license within your jurisdiction, such as a salesperson license or property management license.

Office Services Production Mail Workflow
• All Mail Requests, regardless of size must be made via the print fulfillment portal found at the Mail Request Form
• BCBSRI Business Owner will work with the Print Fulfillment team and Office Services to discuss mailing time frames based on production standard operating times.
o This time includes print fulfillment’s standard time for mail merge and file manipulation.
o Office Services Production Print Time (print time varies depending on number of pieces, type of material being printed. Quote available upon request)
o Insertion of printed mail (avg. 3000 pieces per hour for single page letters)
o Postage application (avg. 4000 pieces per hour using a standard #10 envelope)
o Upper limit for Office Services outside of general considerations and duties (detailed below) is 10,000 pieces mailed per business day
• Existing mail schedule must be considered during the planning stage as well as the understanding that daily mail duties must also be met.
o Standard Associate mail
o Salesforce Member Request Letters which include expedited volume
o Medicare Member Welcome Kits
o Utilization Management Letters
• If urgency dictates movement of existing mailing schedule, BCBSRI business owner must consult with other business owners on mailing schedule to discuss potential movement of mail dates
• Emergency Mailings are treated as a best effort scenario and regardless of urgency must fall into acceptable production time frames regardless of urgency or regulatory needs.
• Alternative accommodations are the responsibility of the business owner, with Print Fulfillment and Office Services offering guidance and assistance when applicable.
• Business Units providing mailings that fall within the Denial, Appeal, and FEP categories should follow the process detailed below to receive accurate quarterly reporting:
o Department providing the mail will log the date of drop off to Office Services for mailing.
o Their Cost Center slip for these specific mailings should feature the naming conventions Denial, Appeal, or FEP Appeal.
o Naming convention will begin at 1 EG (Appeal 1) and will be progressive.
o Job name will be entered into the mail meter when the mail is processed.
o This will allow reporting to call out and identify these specific pieces.
o Quarterly reports will be generated and placed in a shared folder in Teams or SharePoint on an agreed upon date.
In adfdition, This is a unique assignment with responsibility of the oversight of facilities and office services (print shop and mailroom) and the retail sites.

Leasing Cooperation

Manager shall assist and cooperate with any leasing agent employed by Owner to leased portions of Property.
Tenant Administration

Manager shall be responsible for the management of the lease obligations on the Property, providing customer service to tenants, Owner and visitors. Manager shall be responsible for enforcement of tenant obligations under the leases.
Lease Administration
500 Exchange Street
Manager shall administer the Owner’s leases, including the billing and collection of lease monies, preparing lease reports, critical date reports, stacking plans, rent rolls, lease abstracts, lease consultancy, lease analytics, and tenant directories. Collection of rents shall include base rents, additional rent for escalations in operating expense and taxes, parking charges, cleaning, and other charges. Manager shall issue monthly rent statements to tenants and reconcile items for tenants.
Records Administration

Manager shall maintain complete and separate books, records and documents relating to the services it performs in the management of the Property, including but not limited to, all contracts, leases, amendments, extensions and other agreements relating to contracts and leases, files, correspondence with tenants and prospective tenants maintenance and preventative maintenance programs schedules and logs, tenant finish, construction and capital improvement records, inventories of personal property and equipment, correspondence with vendors, job descriptions, correspondence with federal, state, and municipal authorities, and accounts held or maintained by Manager.
*For such locations, Manager shall maintain complete and accurate records pertinent to any accounting and invoicing performed by Manager.
General Maintenance

Performance of, supervision of and/or negotiating contracts for, preventative maintenance, repairs, cleaning, painting and decorating, alterations, replacements, minor improvements (including, without limitation, portions of the common areas and office areas) of Properties. This shall include window washing as required, water tank cleaning, and snow/ice treatment and removal from sidewalks and from rooftops if required of Properties. Manager shall administer an electronic system in which Owner employees may enter maintenance requests, along with a priority level.
Property Management/Engineering
500 Exchange Street
All Retail locations, Dupont Drive
Manager shall hire, train, supervise, and discharge all employees reasonably required for the management of the Properties. All matters pertaining to the selection, direction, employment, supervision, compensation, promotion, and discharge of such personnel are the sole responsibility of Manager. All such personnel shall be the employees or independent contractors of Manager.
Mailroom, Mail Services and Copy Center
500 Exchange Street
All Retail locations
Dupont Drive,
Manager shall hire, train, supervise, and discharge all employees reasonably required for the operation of the mailroom and copy center such that mail is delivered promptly, and that copy requests are turned around in a reasonable timeframe. Manager shall deliver bulk mailing, arrange and perform courier services for Owner, coordinate overnight mail deliveries and pick-ups, coordinate Owner’s off site storage delivery and retrieval, this does not include Iron Mountain records retention, and oversee loading dock for receiving of freight deliveries.
Conference room setup
500 Exchange Street
Manager shall hire, train, supervise, and discharge all employees for conference room set-up, including ensuring room is clean and furniture is properly positioned. Requests must be submitted via the work order system.
Office Services – Equipment

Manager shall hire, train, supervise, and discharge all employees to set up and trouble shoot office services equipment.
Interior and Exterior Cleaning
500 Exchange Street

Manager shall procure, supervise and manage common area and tenant space office cleaning of Properties.
Building Security

Manager shall partner with BCBSRI to procure outsourced security service providers Manager is responsible for tenant and Owner parking spot assignments.
Emergency Action Plan

Manager shall partner with BCBSRI security to review and update the BCBSRI emergency action plan no less than annually.
Cafeteria

Manager shall procure, supervise, and manage cafeteria provider.
Elevators

Manager shall procure, supervise, and manage outsourced elevator maintenance providers qualified to service the installed elevators in Property.
HVAC

All Retail locations
Manager shall hire, train, supervise, and discharge all employees reasonably required for the operation of the Property’s central plant and HVAC equipment. Manager shall contract outside vendors to manage preventative maintenance contracts as required per lease terms with retail and satellite offices.
Rubbish/Recycling
500 Exchange Street, Lincoln, Warwick, Cranston
Manager shall procure, supervise, and manage outsourced rubbish and recycling services, compliant with all LEED requirements where applicable
Pest Control
500 Exchange Street,
All Retail locations
Manager shall procure, supervise, and manage outsourced pest control services as required to prevent and eliminate pests as required at Properties.
Fire Alarm/Suppression/Extinguishers

Manager shall ensure that all required federal, state and municipal codes are complied with, and shall assist in inspections by fire authorities. Manager shall ensure fire suppression systems **and fire extinguishers are maintained and replaced as required for safe operation of Properties.
Utilities Billing

Manager shall administer an energy procurement program, utility reading and tenant utility expense billing.
Vendor Payments
500 Exchange Street

Dupont Drive,
Manager shall promptly pay all invoices related to Properties in compliance with contracts and this Agreement.
Condominium Association
500 Exchange Street
Manager shall participate on behalf of Owner with respect to real estate matters concerning the Water Place Park condominium association.
Project SEARCH
500 Exchange Street
Manager shall cooperate in placing interns of the vocational program Project SEARCH to the extent that such placements do not cause unreasonable burden or disruption.
Printing, Mailing and Distribution
Manager shall provide, print and distribution services impacting Owner’s members, their providers and/or representatives, as applicable.
Manager agrees to perform these services in accordance with the latest standards and procedures by applicable regulatory and/or accrediting bodies, which may be updated from time to time. Manager is responsible for printing and/or distribution of the following:
- Mail collection of Owner denial and appeal notifications
- Mail collection of Owner’s FEP appeal notifications
- Printing and distribution of Owner’s NCQA annual member letter
- Printing and distribution of Owner’s annual practitioner/provider letter
- Printing and/or distribution of Owner routine member notifications
In addition to the above bulleted services, Manager shall perform similar services for other specific documents and records as requested by Owner and distribute them to Owner’s Members, their Providers and/or representatives within a mutually agreeable timeframe (as detailed in Office Services Production Mail Workflow), attached hereto Exhibit A, but no later than what is required by applicable law or regulatory body. Manager is not to be held responsible for inability to meet deadlines that fall outside of detailed production timeframes. In the event Owner complies with the detailed production timeframes and Manager misses deadlines as a result of Manager’s negligence or willful misconduct, then Manager shall indemnify, defend and hold Owner, its directors, officers, agents, servants and employees harmless from and against any and all claims, demands, causes of action, losses, damages, fines, penalties, liabilities, costs and expenses, including reasonable attorneys’ fees and court costs, arising out of any third party claims, including regulatory bodies, sustained or incurred by or asserted against Owner by reason of Manager missing those deadlines.
Tenant Satisfaction
Manager to provide Owner with annual tenant satisfaction survey results as well as any tenant concerns brought to Manager’s attention
NCQA annual member mailing
Manager to provide confirmation of the NCQA member mailing being sent, detailing the total volume of NCQA member mailings, as well as the mailing completion date to the director, commercial compliance & accreditation.
Physician letter mailing
Manager to provide confirmation of the annual physician letter being sent, detailing the total volume of letters, as well as the mailing completion date to the director, provider relations.
Denial, appeal and FEP letter mailings
Manager to perform mailing denial, appeal, and FEP appeal letters. Manager to supply BCBSRI with reports as set forth on Attachment E-1
