The NASA Wisconsin Space Grant Consortium is seeking a full-time Grants Account Administrator and Project Coordinator. This role combines accounting responsibilities with project coordination and requires strong organizational skills to manage financial operations and assist with programmatic tasks. The successful candidate will process financial transactions, maintain internal budgets, support event logistics, and communicate effectively with a variety of stakeholders. Accounting responsibilities will comprise 80% of the work with project coordination activities at 20%.
Key Responsibilities:
Accounting and Financial Administration:
- Process invoices, scholarship, fellowship, and internship payments for multiple grant-funded programs.
- Maintain internal budgets across a portfolio of grants and student funding programs.
- Enter accounts payable bills into Workday and ensure timely processing of payments.
- Generate and process purchase orders (POs) for program-related expenses.
- Manage post-award and federal compliance processes.
- Reconcile accounts and ensure compliance with institutional and grantor requirements.
- Maintain accurate bookkeeping and electronic filing systems for grant-related financial records.
Project Coordination:
- Provide logistical support for WSGC events, including workshops, conferences, and fellowship programs.
- Coordinate communication with faculty, students, and external partners through email, phone, and in-person interactions.
- Assist with the planning and execution of program initiatives, ensuring deadlines and deliverables are met.
- Facilitate the smooth operation of WSGC programs and projects by handling day-to-day administrative tasks.
Grant and Project Management:
- Support the Director in managing grant reporting requirements
- Assist in maintaining accurate records for grant compliance and audits.
- Coordinate the tracking of project timelines, budgets, and deliverables.
- Collaborate with the WSGC team to ensure project goals are achieved.
Qualifications:
- Bachelor's degree required.
- Minimum 3-5 years of experience in accounting, financial management, or related fields.
- Experience working on federally funded grants is highly desirable.
- Project management experience is a plus.
- Proficiency in Excel is essential to success in the position.
- Proficiency with Workday or similar enterprise resource planning (ERP) software is preferred.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Ability to work both independently and collaboratively.
- Familiarity with academic or nonprofit financial administration is an advantage.
