Position Summary:
We have an exciting opportunity to join our team as a Health System Director, Sponsored Research Administration
Working with department/institute leadership Academic Department Operations and Finance Research Enterprise to oversee pre/post award functions at local level and manage associated POD teams Supervises research administration staff and ensure team building and that employees are working together to advance departmental and organizational goals of innovation and excellence Lead processes to increase research portfolio and ensure strategic initiative are being met while maintaining the highest levels of customer satisfaction efficiency and research compliance
Job Responsibilities:
- Grants management oversight of grants management team and day to day operations for funded grants gifts and fellowships including pre award management planning identification of new funding opportunities prepared management RFP review initial planning with PI budget development coordination of support/consortium documents financial disclosures biosketches resources and environment and subcontract requirements and response to JIT requests Post award management ongoing review of research records personnel and OTPS expenses within budget guidelines budget revisions and prior approval subcontract management submission of required progress close out reports and invoicing regulatory compliance time and effort reporting maintenance of faculty/other support records reporting and any other compliance related requirements
- Support strategic planning process throughout the department focuses on research including identifying and implementing methodology for tracking and process improvement related to grants administration Work closely with department leadership and PIs to assess their future direction and immediate concerns
- Support the faculty recruitment and program development processes across the departments including development of research sections of financial plans and transfer of grants to NYULMC
- Foster collaborative relationships throughout NYULH as well as the external research community Work with institutional peers to improve collaboration and operational efficiency
- Responsible for staying abreast of NIH and other research funding opportunities Ensure that routine meetings with investigators regarding grant finance research studies progress etc occur regularly and with appropriate frequency to ensure that performance and financial benchmarks are met Work with the Department Leadership to develop new strategic teams ensuring that meeting participants are identified agendas prepared meeting minutes with clear action items written and distributed and the team are moving forward on point
- Develop strategic plans and seek opportunities to advance organizational and research interests of the program through collaboration grant opportunities and sponsored research Facilitate such relationships and/or author research proposals and business agreements
- Identify operational problems issues obstacles and barriers across all projects based on established metrics audit reports input from project leaders clinical and informatics faculty statisticians project team members business development staff and sponsors
- Compliance responsible for ensuring that research efforts are in compliance with NYU School of Medicine guidelines state and federal regulations by monitoring and evaluating the quality and appropriateness of research activities Monitor the progress and performance of all research projects on an ongoing basis and ensure that all activity is in compliance with NYU IRB regulator requirements and quality standards in accordance with agreed upon timelines and within budgetary limits Ensure that delays are identified and that appropriate interventions are implemented to meet timelines Ensure that any pending compliance issues for sponsors are addressed and dealt with timely Ensure grant expenditures are compliant with federal and NYULH accounting guidelines Ensure that the federally sponsored program files and information are up to date Develop internal policies pertaining to the management of grants and contracts within the Administrative Pod
- Institutional research liaison serve as primary representative for relationships with institutional and affiliated research resources at NYULMC including SPA OSR OCT IRB OIL etc
- Core department administration and Finance operations serve as member of departmental core administrative team representing research administration and coordination of grant funded budgets with finance including oversight of tracking system for grant accounting personnel effort optimizing grant fund utilization and ensuring compliance with all relevant federal regulations and NYU policies Serve as member of Finance Research Enterprise team to align training standard operating procedures and coordination of staff training
- Manage productivity metrics including submissions awards success rate dollar density and other relevant metrics for both staff and PIs Adapt tracking system in response to SOM priorities
- Oversee the appropriate allocation of personnel salaries on sponsored awards and monitor and address specific high priority issues related to grant spending such as large carryover balances and overspending Ensure individual PIs are informed of their current and future financial status as well as NYULH financial policies and provide summary reports and recommend action plans regularly
Minimum Qualifications:
To qualify you must have a A Bachelors Degree in Business Health Administration or related field with a minimum of 5 years of progressive leadership in an academic medical center; or equivalent combination of education and experience Evidence of highly effective interpersonal and communications skills and attention to detail; strong project management organizational and time management skills; exceptional financial management skills; experience with research administration
Preferred Qualifications:
A Masters Degree in public health public administration research or related field Ability to effectively communicate with all levels of the organization

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $146,384.39 - $202,456.80 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
