Position Title: Healthcare Services Coordinator
FLSA STATUS: Non-exempt, Full Time
REPORTS TO: Managers of Concierge and Admission Services
SUPERVISES: None
COMPANY: Overlook Masonic Health Center
POSITION SUMMARY
Act as the first impression of the Overlook. Initially greeting new residents, guests and/or visitors either via phone or in person. Organizing of all incoming/outgoing medical documents and coordination of resident appointment and transportation. Always works with integrity according to established policies and procedures, and as directed by supervisor.
PRINCIPLE DUTIES/ESSENTIAL FUNCTIONS:
- Meet and greet visitors
- Answer multiline telephone system and direct calls to the appropriate location
- Administrative and medical filing, printing documents
- Invoice document and supply ordering for PAU, AL and Rest Home
- Greet visitors in a polite and professional manner and check in guests at the front desk
- Assist residents with any issues and / or problems and direct them to the appropriate departments for resolution
- Give directions and information to guests, visitors, vendors and others as needed
- Communicate with nurse and interdisciplinary team an changes or updates
- Schedule MD appointments
- Coordinate for transportation through Overlook/vendor/family
- Orders equipment as requested by case or unit manager
- Manages bed board
- Assist with clerical and / or other duties as assigned by supervisor
- Maintain visitor logbooks
- Assemble and disassemble charts for admissions
- Copy admission packets for unit
- Fax/phone notification to external MD (discharge, apts, records request, etc)
- Record scanning to EMR
- Enter work orders
- Print schedules
- Uploading docs & photos to EMR
- Ensure documents and forms are stocked
- Keep work areas neat and clean throughout the day, and shut down office equipment before leaving
- Maintain strict confidentiality of all resident information at all times
- Supports nursing team as requested
- Additional responsibilities as assigned by supervisor

- Must possess patience and excellent organizational skills
- Must be able to multitask while maintaining organization and pleasant demeanor
- High school diploma or equivalent preferred
- Must possess excellent interpersonal skills, including the ability to effectively communicate at all levels
- Basic computer skills including knowledge of Microsoft Office Word, Excel, email and the Internet
- Knowledge of multiline telephone systems required, familiarity with common office equipment and practices, should have a cheerful personality, a genuine desire to help people, and the ability to work well with others. Must possess the ability to deal tactfully with personnel, residents, family members and other guests, visitors and the general public
