Job Description:
I. INTRODUCTION
A. The position of Clinic Receptionist I, under the supervision of the designated supervisor, is to receive incoming patients for the clinic and interview patients or accompanying parties to obtain data required for physician.
B. Additionally, this position performs a variety of fiscal record keeping and clerical services for receptionist desk and providers. Position is subject to shifts, which includes work on weekends and incumbent may be floated to any clinic site as may be determined by supervisor.
II. MAJOR DUTIES & RESPONSIBILITIES
A. 65%
1. Welcome patients to the clinic; follow protocol to determine if patient should be seen immediately; interview patients to obtain identifying information such as name, address, age, phone number, attending physician, individual or insurance company responsible for payment; register new patients and update established patient files.
2. Prepare fee tickets; retrieve medical record and prepare medical record for appointment; ensure the patient s last notes are in the chart, if they are available; place the proper paperwork in the chart; request outside records, if needed; label and file chart; file medical records in appropriate patient s chart; maintain confidentiality of all information; schedule appointments; call to remind patients of appointments, and recall no-shows.
3. Determine payment and collect payments due or complete insurance documentation and provide to physician s staff for processing; issue receipts for payment and reconcile beginning and ending balances daily.
4. Input data as required for revenue processing. Attach supporting documents to fee tickets prior to submission.
5. Answer clinic telephones; utilize provider pagers and overhead paging, as appropriate; prepare and mail out correspondence coordinating with US Government Client, UPS, Fed-Ex preparing return receipts; schedule appointments; take messages; print faxes and deliver appropriately; receive and sort mail and/or package upon receipt; inventory supplies; and handle other clerical duties as assigned by supervisor, physician, or nurse.
6. Maintains decorum of the reception area.
B. 20%
1. Assist with following up on additional patient information including referrals; follow established collection techniques for outstanding balances; follow procedures for unpaid accounts; work with Clinic Business Office regarding denials/rejections and submit additional information as required.
2. Complete tasks on action lists.
3. Assist with scheduling diagnostic studies, outpatient procedures and referrals as directed by the physician and/or nurse.
4. Follow up with insurance company and/or business office to include status
of authorizations.
C. 10%
1. Develop and type letters and memoranda for physicians and nurses; file correspondence and reports in medical records; purge medical records as needed; input data into computer system; and process requests for release of medical information relating to patient care issues.
2. Order clerical supplies for department.
3. Communicate work order needs to supervisor and initiate work requests to maintenance, data processing, housekeeping, and other departments, as needed.
4. Coordinate language interpreter service, as needed.
D. 5%
1. Available to work on weekends and float to any clinic site based on staffing needs, provide support services as needed; perform other related duties and tasks as assigned by supervisor within the required timeframe.
Must Have 2 year experience working clerical
Must be able to work weekends
Must be able to work between 7am to 7pm 7 days a week (not sure what days will be off )
