PURPOSE STATEMENT
This position is responsible for assisting the high school administration team in the operation of the high school office, providing support to specific functions in the office as assigned. Will provided translation for Spanish speaking parents and community members.
ESSENTIAL FUNCTIONS
- Greet students, parents, staff and the public; answer a wide variety of telephone and in-person inquiries; promote positive public relations for the district.
- Communicate effectively with monolingual and limited English speaking parents, students and community members; assist other office staff by translating when necessary.
- Maintain a variety of program records and research; track records for compliance and/or completion; maintain record accuracy; input data into computer; produce reports as requested. Examples include athletic registrations, discipline, attendance, ASB receipts, general fund and other accounting records.
- Serve as general office support to assistant principals and/or school counselors. Format and type a wide variety of correspondence, memoranda, newsletters, bulletins, forms, reports, records and other materials; duplicate and distribute materials; screen calls; maintain appointment calendars; schedule meetings; open and route mail.
- Operate computer and a variety of software packages such as word processing, spreadsheet, database, desk top publishing, and system computer applications.
- Compose flyers and forms for school programs and events as required.
- Perform a variety of specialized functions and administrative support assignments as established by the administrators, and special projects as assigned.
- Provide essential information such as student lists, mailing and file labels, and a variety of reports to the district office and various community and grant partners; coordinate and track student records in the district student records system.
- Promote effective public relations with parents and the general public.
- Provide support and assistance for other office secretaries and staff; perform a variety of backup and peak load assistance in the school and/or counseling office.
- Model appropriate and cooperative behavior, including protecting confidential information.
- Communicate effectively with parents, students, staff and community members.
OTHER FUNCTIONS
- May serve on various district committees and/or departmental work teams.
- Perform related duties consistent with the scope and intent of the position.
REPORTING RELATIONSHIPS
- Reports to the assigned building administrator.
MENTAL DEMANDS
- Experiences frequent interruptions and shifting priorities.
- Must occasionally work with distraught or difficult parents and students.
PHYSICAL DEMANDS
- Ability to lift and/or move up to ten (10) pounds.
MINIMUM QUALIFICATIONS
Education and Experience
- Spanish and English Bilingual skills required.
- High School diploma or GED; AA degree preferred.
- Education, training, skills, and experience necessary to carry out the assignment, including a minimum of one (1) year successful building secretary or office management experience.
Knowledge, Skills and Abilities
- Bilingual English/Spanish required.
- Knowledge/awareness of own cultural identity and how this influences behavior, and desire to learn about the cultural identity of others.
- Ability to establish and nurture an environment that promotes cultural competence and equitable treatment of staff, students, and patrons of the district.
- Ability to communicate effectively, establish and maintain effective working relationships with students, parents, staff and the public.
- Strong communication skills both in person and on the telephone.
- Effective customer service and public relations skills; confidence in dealing with the public.
- High-level keyboarding and data entry skills; skill in operating a variety of office machines; ability to operate a computer and learn the operation of specific software programs.
- Skill in correct grammar and spelling; ability to proofread and make corrections.
- Ability to compose and format correspondence.
- Ability to set up and maintain accurate files and records, organize and prioritize work.
- Required to maintain confidentiality.
Licenses/Special Requirements
- Fingerprinting and background check to determine that there have been no convictions involving physical molestation, abuse, injury or neglect of a minor.
- Must complete Walla Walla Public Schools Risk Management and Bloodborne Pathogens Training upon hire.
- Ability to obtain CPR or First Aid certification.
TERMS OF EMPLOYMENT
Secretary I on the PSE Classified Salary Schedule A
7.5 hours per day, 5 days per week, 189 days per school year
