LifeLong Medical Care has an exciting opportunity for an HIV Study Coordinator at our TRUST Health Center in Oakland. The HIV Study Coordinator independently executes, manages, and coordinates research protocols as directed by the Principal Investigator on a multi-site study to develop, implement, and evaluate a low-barrier drop-in/mobile care for people living with HIV (PLH) who are not engaged in care and experiencing homelessness, substance uses and mental illness. The HIV Study Coordinator will be responsible for working with providers to recruit and enroll participants according to approved eligibility criteria, obtaining informed consent, administering structured interviews according to study timelines, engaging participants to ensure retention in the study, and documentation of all study procedures.
This is a full time, grant funded, benefit eligible position.

Responsibilities:- Outreach
- Provide outreach to established but still out of care HIV patients to re-engage them in care at TRUST clinic and/ or with Street Medicine teams. Offer patients the opportunity to participate in the study.
- Provide outreach to new HIV patients at TRUST clinic and while accompanying the Street Medicine teams. Offer patients the opportunity to participate in the study.
- Study Implementation
- Enroll patients in focus groups and arrange qualitative interviews per study protocol.
- Enroll patients into observational cohort study and collect study surveys per study protocol.
- Facilitate recruitment of a subset of patients for recurring qualitative interviews.
- Conduct baseline and annual psychosocial surveys with each continuously engaged study participant for the study's length.
- Program Management, Data Extraction and Analysis
- Manage and report on study results; create, clean, update and manage databases and comprehensive datasets and reports; oversee study data integrity; implement and maintain periodic quality control procedures; maintain all regulatory documents; report study progress to investigators; and participate in any internal and external audits or reviews of study protocols.
- Complete documentation to aid cost analysis.
- Participate in regular study meetings.
- Participate in regular internal audits to ensure program documentation, charts, and reports are accurate and complete.
- Participate in conference abstracts/ publications as desired.
- Staff Training
- Attend multi-site study trainings as assigned by Study Program Manager.
- Case Management
- Coordinates medical care including scheduling primary care appointments, medication adherence, and referrals to specialty care.
- Educate study participants in self-care skills.
- Links study participants to legal, housing, nutrition, and transportation services.
- Links study participants to mental health and substance abuse services.
- Assist study participants in navigating the requirements of medical insurance.
- Enroll study participants in AIDS Drug Assistance Program (ADAP).
- Enter encounters and units of service (UOS) into the electronic medical record, Epic, ARIES, and other data management systems as required.
- Track study participants' follow up and care plan outcomes. Coordinate with medical providers regarding need for enhanced services.
- Document study participants' progress, referrals, encounters, services, and treatment progress in the centralized client management system to allow appropriate sharing with others program service providers.
- Participate in weekly case conferences with the HIV-Access team and regular HIV Care and Prevention team meetings.
- Coordinate with other clinics within Lifelong Medical Care and across Alameda County.
- Other duties as assigned by Program Manager.
- Commitment to the provision of services for the underserved with demonstrated ability and sensitivity in working with a variety of people from low-income populations, with diverse educational, lifestyle, ethnic, and cultural origins.
- Excellent interpersonal, verbal, and written communication skills with the ability to handle sensitive issues in a confidential, positive, and professional manner.
- Ability to work independently with little onsite supervision, using professional judgment and diplomacy, yet seek direction/approval on essential matters.

Job Requirements
- Bachelor's degree preferred in health administration, public health, or relevant field; AND/OR 3+ years’ experience in healthcare services or non-profit social services; community health a plus
- Minimum of 2 years’ experience in direct patient care or research serving LGBTQ+, homeless, BIPOC, and other minority populations required
- One year of experience in survey research that includes sensitive content, or an equivalent combination of education and experience
- Proficient in Microsoft office Word, Excel, Outlook, Teams, and others as needed
- Access to reliable transportation with current license and insurance
Job Preferences
- Bilingual in English/Spanish
- Prior experience with ARIES, LEO, EPIC, and REDCAP
- Experience in case management, street outreach, and/or harm reduction programs
- Experience working with people living with HIV
- Experience working with electronic medical records
- Ability to understand priorities in clinical research
- Prior experience working on multisite studies
- Knowledge of HIV services in Alameda County
- ADAP certification. If not certified, completion of successful training and certification is required for continued employment
