SUMMARY: The Facility Billing Specialist will be responsible for preparing, issuing, and following up on invoices for facilities and hospices, ensuring timely and accurate billing for medical supplies. This role requires close attention to detail, strong communication skills, and the ability to work within a structured monthly billing cycle to meet deadlines. The specialist will also collaborate with internal teams to address billing issues, provide reporting, and maintain client records to ensure smooth operations in the billing process.

- Invoice Preparation and Issuance:
- Generate monthly invoices for medical supplies provided to facilities and hospices, ensuring all services and products are correctly billed.
- Verify that all billing information is complete and accurate, including quantities, rates, and any applicable discounts or adjustments.
- Ensure compliance with billing policies and client-specific requirements/contracts.
- Account Management:
- Maintain accurate records of all transactions and ensure timely updates to account information.
- Track and manage outstanding balances, send quarterly statements for overdue accounts, and escalate collections as necessary.
- Communicate with facilities and hospices to resolve billing questions, disputes, or discrepancies.
- Reporting and Documentation:
- Prepare monthly reports for management, detailing billing status, outstanding balances, and other relevant metrics.
- Document all billing activities, interactions, and resolutions for reference and audit purposes.
- Process Improvement:
- Identify and recommend improvements to the billing process to increase efficiency and accuracy.
- Stay updated on industry standards and regulations related to medical billing, ensuring compliance.
- Customer Service and Communication:
- Serve as the main point of contact for facilities and hospices regarding billing inquiries.
- Provide excellent customer service to clients, maintaining positive and professional relationships.
- Other duties as requested by Management.
QUALIFICATIONS
To perform this job successfully, an individual must be professional, proactive and positive with internal and external customers and coworkers. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and/or Experience
- High school diploma or general education degree (GED).
- 2 years of experience in medical billing, accounts receivable, or a similar role, with experience in facility/hospice billing preferred.
Skills & Abilities
- Proficiency in billing software and Microsoft Office Suite (Excel, Word).
- Strong organizational and time management skills, with the ability to handle multiple priorities.
- Excellent verbal and written communication skills.
- Willingness to uphold a positive attitude towards tasks and co-workers as well as a commitment to teamwork throughout the billing team and organization.
Language Skills
Proficient English (verbal, written)
