SALES COORDINATION
Position Description
Supports the sales and marketing department in optimizing revenue and bookings. Facilitates revenue-generating efforts in selling hotel guestrooms, catering services, and banquet facilities. Develops and helps clients along the sales process, ensures meetings and events run smoothly, handles administrative tasks, and serves as a direct link between the various hotel departments and the sales team.
Essential Duties and Responsibilities of a Hotel Sales Coordinator
- Establish and maintain close contact with top accounts, and target accounts, through appointments, phone calls, tours, and correspondence
- Work closely with all hotel departments by communicating and coordinating all sales information
- Serve the customer by understanding their needs and recommending appropriate features and services that best meet their needs
- Coordinate groups, events, and conference, working with clients during the planning phase through to completion, ensuring successful execution and rebooking opportunities.
- Execute and support the operational aspects of business booked (e.g., generating proposal, writing contracts, customer correspondence)
- Analyzes current client base or target market for the hotel and devises new ways to expand that client base.
- Forecasts and accurately records and all bookings and cancellations.
- Documents all sales activities into Delphi in a timely and accurate manner.
- Handles inquiries and provides guest room rates, meeting room rental, function space, and hotel services within approved booking guidelines. Confirms agreements in writing and forwards document to client and affected hotel departments.
- Develops promotional and advertising materials for the hotel as well as resources materials for guest and internal communications.
- Oversees distribution of marketing materials.
- Reaches out to organizations and businesses that might require a hotel for conferences and events and meet with representatives from these companies to explain the hotel's merits and amenities.
- Networks with wedding planners and special event planners to encourage hotel bookings.
- Research and develop resources to enhance activity and area information.
- Overcomes hesitations of clients to close a sale.
- Processes payments and applies discounts as necessary.
- Addresses and resolves any issues or complaints regarding sales or marketing.
- Ensures that guests are enjoying their stay at the hotel and that large group needs are met to increase client satisfaction.
- Maintains positive relationships with clients to encourage repeat and recurring business and build customer loyalty.
- Conducts tours of the hotel and banquet facilities, entertains qualified potential clients in accordance with company and property policies and procedures.
- Assist the Director of Sales with implementation and achievement of the Sales & Marketing Plan.
- Provides administrative support to the Sales team/office.
- Maintain a professional image at all times through appearance and dress
- Follow company policies and procedures and is able to effectively communicate them to subordinates.
- Note: Other duties as assigned by supervisor or management.
Required Knowledge, Skills and Abilities
- Excellent communication, both written and verbal, skills required
- Excellent interpersonal and customer service skills
- Requires proficient computer abilities, including but not limited to Microsoft Office products
- Ability to be adaptive, people-oriented, detail oriented, customer focused, enthusiastic, perform with integrity and think creatively and analytically
- Strong organizational and project management skills
- Familiar with the workings of the hotel and hospitality industry
Education and Experience
- Bachelor of Science degree in Business or related field; 2-4 years of related experience may substitute for a college diploma
Work Environment
A hotel sales coordinator spends a significant amount of time in a hotel office, overseeing group and events bookings and servicing key transient accounts, researching potential clients, processing paperwork, and making calls. A hotel sales coordinator also moves around the hotel to meet and greet guests and clients. Some local and national travel to meet with prospective clients or attend sales conferences may also be necessary. Many hotel sales coordinators work over 40-hours per week. Will be required to work nights, weekends and holidays.
Salary
Base salary range is $50000 to $58000 depending on years of hotel sales experience. Incentive program is also part of the compensation package, this is in addition to the Base Salary package.
