JOB DESCRIPTION
The HR Office Assistant/CG Float reports to the Care Designer and is responsible for the day to day operations related to human resources and record management, with an understanding that unfilled shifts will be tended to. She/he ensures compliance with Nurse Next Door’s operating policies and procedures. The HR Office Assistant supports the Care Designer in the oversight of caring practices, supervision of care and the delivery of responsive service. The HR Office Assistant/CG Float will assume on-call responsibilities as assigned.
ESSENTIAL DUTIES & RESPONSIBILITIES
Human Resources
Keep employee files up to date. Including certifications, TB tests, Driver’s license, car insurance, training log, etc. These should be calendared weekly to ensure completion. Follow up with CGS to obtain updated information.
Manage training calendar and ensure all training is complete. Keep track of when annual training is due. Communicate this to the Manager.
Manage calendar for 90- day evaluations and annual performance reviews.
Maintain and update the NND Master Employee Sheet. For bdays, send out cards in a timely manner.
Manage tracking of employee referrals and ensure rewards are paid out appropriately.
Utilize Health source, FB, and other venues of hiring, call, screen and set up appointments for interviews. A minimum of 5 interviews should be scheduled weekly.
Check FB job posting and respond back same day. Follow up with these individuals to make sure they are applying via Health Source and then schedule interviews.
Conduct interviews, assist new hires with questions and on-boarding process.
After hiring, send out welcome email, and online module training (copy from email supplied).
Track missing items and follow up as necessary.
Conduct employment verification and reference checks. Two letters of recommendation should be obtained.
Manage applicant paperwork upon hiring including inputting/maintaining employee data in Procura. This includes setting up as mobile users.
Assist with Discovery Day Orientation.
Maintain quota of hiring between 2-3 new Caregivers weekly.
Keep spreadsheet of all those contacted and follow up on a monthly basis with those that have applied more than a month ago.
Follow up with those candidates that do not follow through with the interview process for feedback.
Follow up with candidates that did interview as well but chose to not follow through.
Follow up with candidates from all sources; even those that have applied weeks ago as they may be in the market again.
Keep track of applications received from all sources on a weekly basis, how many interviews conducted, how many people hired (completion of discovery day).
Office Assistant
Maintain supply of Care Plan folders, New Client Folders, and NND Employee Folders. We should have a supply of 5 or more at any given time.
Maintain other office supplies such as ink, pens, paper, etc.
Maintain and update the NND Client Folders.
Maintain and update the NND Master Client Sheet. For CT bdays, send out cards in a timely manner.
Manage 30-day/60-day client follow ups and provide Care Manager with calendar updates.
Help facilitate communications between Office and CGs. This could be through various avenues such as FB NND closed group, emails, texts.
Help with Call me investigations. This includes follow up with CGs and responding with CSC. For repeat offenders, keep track so this can be addressed with management and CG.
Assist with vacation requests and ensuring those visits are filled. Keep calendar of these.
Confirm all client documentation has been received biweekly and file appropriately. Coordinate the delivery of notes to and from with Care Designer.
Become familiar with Fran-Connect and help keep office up to date.
Assist with scheduling as needed.
Attend meetings as designated.
Help maintain company calendar.
Misc duties and projects as needed, to include marketing.
CG FLOAT
Be available and willing to cover CG shifts as needed.
Introduce and train new caregivers to clients you have worked with.
