Responsibilities:Effectively review and process HR service requests and transactions related to one or more HR specialties with a high degree of accuracy and adherence to procedures. Accountable for adhering to service standards/metrics for all offerings and ensuring all service standards are met. The position will provide information as well as navigate the organization and vendors on behalf of Northside Hospital employees.
PRIMARY DUTIES AND RESPONSIBILITIES – HR Shared Services Specialist
- Serves as the first line of contact for HR and Payroll inquiries from employees, including, open enrollment, Self Service, year-end, mergers, acquisitions, and special projects.
- Responsible for handling any employee related administrative, data entry, reporting and reconciliation tasks as appropriate.
- Performs transactions related to one or more HR and Payroll specialties with a high degree of accuracy and strict adherence to written procedures.
- Maintains knowledge of organizational and departmental policies and procedures. Providing education on benefits, leave of absences, payroll, HR processes to new hires, employees and managers.
- Responds to incoming correspondence/calls from employees for all HR and payroll related inquiries. References company policies and procedures to ensure accuracy of response and to offer all available information. Determines and addresses any unstated needs. Recognizes when escalation of a situation is necessary. Records the details of each call. Maintains confidentiality of all HR related information.
- Manages and monitors multiple means of incoming communication/requests from employees, including but not limited to voicemail, email, USPS mail, fax, cases, etc.
- Provides information related to HR operations and policy to employees.
- Utilizes a system to document details of inquiries to include transaction type, troubleshooting steps, database management, and steps taken to meet the customer’s request. Utilizes the HR knowledgebase and case management system and other tools to actively manage caseload in accordance with team production goals and established quality standards.
- Proactively escalates issues to ensure the timeliest service. Serves as a customer advocate and represents the company in a professional manner.
- Practice proper safety techniques in accordance with Hospital and departmental policies and procedures. Immediately report any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury/accidents to their supervisor.
REQUIRED
- High School Diploma or equivalent (GED).
- Two (2) years of Human Resources OR customer service related experience.
- High degree of emotional intelligence.
- Strong communication and organizational skills.
- Strong customer services skills and attitude.
- Ability to work with many different people with different personalities.
- Strong multi-tasking ability and ability to work through ambiguity.
- General knowledge of Human Resources policies and procedures and Healthcare compliance.
- Ability to work with a team to create effective departmental strategies and meet team goals.
- Strong personal computer skills, including spreadsheet and database usage, Excel and Microsoft Word. Must be technology savvy and highly organized.
- Ability to work flexible hours, including evenings &/or weekends.
- Ability to work well with others in a team environment.
PREFERRED
- Bachelor’s Degree from an accredited college or university.
- Two (2) years of HR Shared Services experience, representing HR/Health insurance industry.
- Competent with Microsoft Excel.
