About the Position:
The Human Resource Specialist manages labor reconciliation/distribution, position control, rosters, renewal contracts, and adjunct contracts.
Responsibilities:
General Human Resources Administration
- Labor Distribution, Labor Reconciliation, Position Control, and Wireless Device Stipend Review:
- Ensures all labor distributions for CCB is processed;
- Ensures all Labor Distributions by other units for CCB employees are processed;
- Completes monthly labor reconciliations;
- Submits position control and/or labor distribution forms as needed to ensure correct budget, org assignments, and salary payments are reconciled to correct orgs and no over/under payments are made;
- Creates Rosters reports as requested; and
- Creates and issue all CCB P&T, Term Renewal, Research Staff Renewal contracts.
- Study, Sick, and other Leaves;
- Sends call out for applications, collect the applications, and send reminders e-mail;
- Submits applications to CCB leadership team for review and approval;
- Informs HR team of faculty awarded study leave and work with Area Chairs to determine the semester the study leave will be taken; and
- Works with supervisors and employees to ensure all approval and paperwork is executed.
- Schedule Assistance:
- Assists with processing Adjunct Contracts and Faculty Overload Letters; and
- Assists with tracking teaching assignments, ensuring course loads are met, and pay is correctly assigned.
- GA, NSW, SW, & Work Study Hire Process:
- Manages all phases of the personnel administration cycle for GRA/GTA, UG/Grad Support Programs and wage hires. This includes: (1) job postings and ad placement; (2) generation of offer letters for appointments and scholarships; (3) onboarding including ensuring completion of I9 and other documentation as needed; (4) status changes, renewal, other transitions, or exit; (5) ensure all hires have completed necessary training; and (6) process all ePAF's;
- Maintains control of necessary documentation flows throughout all aspects of the processing cycle from generation through signature, mailings, and return; and
- Maintains required electronic files documentation as required.
- Proficiency in the use of MS Office (Work, Excel, PowerPoint) suite of software;
- Experience in drafting, issuing, and managing contracts;
- Analytical Skills: Ability to conduct audits, reconcile labor distributions, and analyze salary data accurately;
- Ability to multi-task and prioritize daily activities;
- Ability to demonstrate significant attention to detail and perform work with a high degree of accuracy;
- Ability to follow-through with task items;
- Ability to work in a fast-paced work environment;
- Ability to work effectively with others both in the department and with external colleagues; and
- Skill in effective and professional verbal, written, and interpersonal communication.
