About the Job
Purpose:
The Human Resources (HR) Administrative Support Specialist provides a high level of customer service to staff and faculty and facilitates the coordination and administration of all human resources initiatives.
Essential Job Functions:
- Provides support to a variety of HR functions, which may include talent acquisition, people engagement and learning and development.
- Coordinate meetings and events, communicating with customers, administrative support, utilizing applicable technology platforms and providing regular reporting.
- Provides customer service to both internal and external customers by answering phones, responding to inquiries and questions.
- Completes projects, which may require researching information and presenting findings.
- Provides back up and support to other functions.
- Assist with tracking and implementation of HR projects.
- Supports the hiring process for staff and faculty vacancies. Partners with the Talent Aquisition Manager to assist in job postings, background checks and fulfilling hiring needs as needed.
- Participates in the new hire process, reviewing and processing required forms, responding to inquiries, providing new employee orientation information as requested, and ensuring a consistent onboarding experience for staff and faculty.
- Responsible for human resource reporting including HR metrics.
- Maintains highly confidential records, including vendor contracts and agreements.
- Process, scan, file, and store HR information and documents.
- Assists in delivering HR sponsored recognition events, service awards, and other ceremonies.
- Performs other duties as assigned.

Required Qualifications:
- High school diploma or equivalent. Bachelor's degree from an accredited college or university in a related field is preferred.
- At least one year of relevant work experience in human resources, customer service, administration or a related area of work. Three or more years of experience is preferred.
Knowledge, Skills, Abilities, and Personal Characteristics:
- Proficient in the use of Microsoft Office suite (Word, Excel, PowerPoint) with an intermediate level in excel.
- Possesses service-oriented mindset.
- Experience with using and reporting from HRIS or learning management platforms.
- Strong attention to detail, ability to perform duties with a high level of accuracy.
- High degree of organization, ability to engage in a variety of tasks simultaneously, and consistently meet deadlines.
- Ability to work with and maintain confidential University information.
- Positive attitude.
Physical Demands:
- Nature of work requires an ability to operate standard business office equipment.
- Requires ability to communicate and exchange information, collects, compiles, compares, and prepares work documents, set-up and maintain work files.
- Must be able to lift up to 25 lbs.
Working Conditions:
- Work performed in a general office environment.
- May require availability for overtime hours during peak periods.
