About the Job
This position is fully onsite at our office.
The Human Resources Assistant is responsible for providing administrative support to the Human Resources (HR) department in accordance with company policies and procedures.
Essential Accountabilities
- Be the receptionist for the HR team.
- Respond to applicant and team member inquiries related to job opportunities, forms requests, procedures or by referring inquiry to the appropriate HR team member.
- Provide pre-employment recruiting assistance to the HR team.
- Conduct employment tests.
- Assist in scheduling drug screens and background checks.
- Manage HR mailbox
- Create new employee files
- Relocation administration
- Closing the new hire and termination paperwork into HRIS.
- Department meeting minutes/action plan.
- Conduct motor vehicle checks once/year.
- Schedule HR quarterly meetings.
- New hire orientation preparation (book the location, prepare the materials, etc.).
- Maintain company organizational chart. Update once a month.
- Assist with coordination of training programs, and maintenance of training records. Add, Term, update ee's in training software. Send out past due and upcoming training reports.
- Provide event coordination assistance (i.e. 20 Year Outing, United Way events, etc.).
- Open, date stamp, and distribute departmental mail daily.
- Keep filing up to date, i.e., personnel files, term files, I-9, etc.
- Manage company t-shirt process, cups, new hire gifts.
- I-9 Auditing.
- Holiday calendar communication.
- Updating 24/7 calendar.
- Unemployment paperwork and employment verification.
- Coordinate employee locker coordination process with department supervisor.
- Distribution of and ordering of service awards.
- Coordinate memorials and gift baskets for births, deaths, etc. as back up for receptionist.
- Safety administration.
- Process safety shoe/glasses, tool Reimbursements
- Schedule Safety Committee Meetings, attend the meetings, take notes and distribute notes.
- Assist with development and dissemination of company communications.
- Issue security access cards for full-time and temporary employees and maintain security access system data.
- Perform other administrative duties as required.
Minimum Qualifications
Associate's degree in Administrative Assistant or related field preferred and 3 years of experience in a highly responsible administrative role; or 5 years of experience in a highly administrative role, preferably in a manufacturing office environment.

Physical Requirements: Light work (lift 10 lbs): Occasional -Miscellaneous office supplies and equipment
Medium Work (lift 11-30 lbs.): Occasional - Information display boards Heavy Work (lift 31-50 lbs.) Occasional - Paper boxes. Other Physical Requirements: N/A Mental Requirements Reading, writing, calculation, interpersonal interaction skills, reasoning/analysis, works effectively with minimal supervision, ability to resolve conflict, management multiple priorities and maintain strict confidentiality of information.
Travel Frequency (in addition to seminars or related training):
No travel to our satellite (out of state) locations required for this position.
