ML Mettler Corp is seeking a dedicated and detail-oriented HVAC Office Administrator to manage the administrative operations of our HVAC services. This role will initially start as a part-time position (3-4 days a week) with the potential to transition into full-time based on performance and business needs. The ideal candidate will have a strong background in the HVAC industry, proficiency in QuickBooks for financial tasks, and excellent organizational skills. A CPA license is a plus and will be highly valued in this role.

- Accounting & Bookkeeping: Manage day-to-day financial tasks using QuickBooks, including invoicing, processing payments, and tracking expenses.
- Administrative Support: Perform filing, maintain office records, and manage correspondence to ensure efficient office operations.
- HVAC Coordination: Assist in coordinating HVAC service appointments, managing technician schedules, and ensuring smooth communication between the office and field teams.
- Customer Service: Handle customer inquiries, provide job updates, and ensure a positive customer experience.
- Documentation & Reporting: Prepare financial reports and maintain accurate records of all transactions, including job orders, billing, and employee records.
- Proven experience in office administration with a background in the HVAC industry (essential).
- Proficient in QuickBooks for managing accounting tasks and generating financial reports.
- A CPA license is a plus.
- Strong organizational skills, with the ability to multitask and handle multiple priorities.
- Excellent communication skills, both written and verbal, to interact with clients and staff.
- Detail-oriented with the ability to maintain accurate records and ensure compliance with company procedures.
