ABOUT THE POSITION
The Impact Project Officer is responsible for managing the development of projects, communicating with stakeholders, and overseeing administrative logistics for the Credit Union's Impact Department. This includes cultivating and maintaining relationships, overseeing onboarding processes, maintaining databases, and ensuring the engagement and participation of volunteers, partners, grant recipients, scholarship recipients, and other stakeholders. Additionally, this individual will excel in this position by working closely with all Impact staff by facilitating effective communication, overseeing project management, planning special events, and administering organizational documents for Credit Union Board reports and/or minutes specific to the Impact Department.
NORMAL DAY-TO-DAY WORK
- Direct communication and scheduling between the Impact Department and its network of partners, volunteers, grant recipients, scholarship recipients, and key contacts for in-person and virtual meetings, email distributions, engagement initiatives, and special events or projects.
- Develop and manage the onboarding process for the Credit Union's volunteer program by managing databases, conducting interviews, verifying qualifications and membership eligibility, facilitating on-going communication, and providing Credit Union marketing collateral to promote products, services, and other prominent information.
- Develop and implement a strategy to create engagement opportunities for volunteer groups, partners, and Foundation recipients that enhance the Credit Union's visibility and relationships within the local government community. Attend local government conferences, visit local government entities, grant recipient events, and partnership happenings to host special events or meetings with Credit Union members and volunteers.
- Prepare agendas and material for meetings within the Impact Department and coordinate with staff to create Credit Union Board memos. Attend Foundation Board meetings to accurately document discussions, decisions, action items, votes, and draft the meeting minutes.
- Create and manage a comprehensive database of volunteers, partners, Foundation recipients, and stakeholders. Gather demographic data on volunteers to determine location, level of participation, etc. Research and develop marketing strategies that increase engagement.
- Develop and implement a comprehensive communications strategy between Marketing Communication and Creative teams to map out Impact projects, events, and collateral. Serve as the primary contact between the Impact Department and Marketing Department for executing logistics for special projects and event management.
- Organize and manage the scheduling and administration of calendars for the Chief Impact Officer, SVP Impact, Executive Director of Outreach and Engagement, Advisory Council master calendar, and other specialty volunteer or Foundation calendars. Respond to inquiries from members, volunteers, Foundation recipients, partners, and other stakeholders on behalf of the Impact Department.
- Lead the operational and administrational initiatives for the Impact staff to plan Partnership meetings, Advisory Council meetings, Foundation functions, and other special events. Identify planning needs and logistics to ensure events run smoothly, including managing invitations and attendance. Define and implement communication assets before and after every event.
- Partner with Impact staff to identify compelling member stories for marketing collateral, social media, and other assets.
- Take ownership for actions, decisions, and results; openly accept feedback and demonstrate both the willingness and ability to improve.
JOB QUALIFICATIONS
Here are a few qualifications you MUST have to be qualified for this position.
- Minimum of 4 to 6 years in Marketing and/or in an senior administrative role, including 1-3 successfully managing projects, overseeing administrative duties, or impact strategies.
- Experience managing multiple projects/priorities in a fast-paced environment.
- Software proficient including Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and other project management tools.
- Ability to function in a consumer business office environment and use standard office equipment including but not limited to: Mac/PC, copier, telephone, etc.
- Ability to lift a minimum of 25 lbs. (file boxes, computer printer).
- Some travel required, monthly primarily throughout the state of North Carolina.

- BA/BS degree in marketing, project management, public relations, integrated marketing communication management, or related field
- Experience managing special events and overseeing logistics
- Significant knowledge of project management processes and procedures
- Experience serving as an executive liaison or special assistant
