About the Job
Reporting to the Clinical Program Manager and in partnership with the Nurse Coordinator, is the first point of contact for all newly diagnosed medical oncology and hematology patients referred to a Smilow Care Center. The incumbent in this position serves as a liaison among and between referring physician offices, patients and staff to ensure that all required information for new patient intake is received and shared in a timely manner and that initial consultations are scheduled as prioritized by the Nurse Coordinator and physician. Utilizes a variety of information systems to schedule patients and process relevant patient data; performs a variety of associated general clerical functions. Demonstrates outstanding customer service in all interactions with patients, providers and staff.

- 1. New Patient Onboarding
- 1.1 Partnering with the Nurse Coordinator, supports seamless onboarding and navigation of all newly referred patients from point of referral through initial consultation, ensuring timely scheduling, effective coordination and an optimal patient experience:
- 2. Information Systems
- 2.1 Utilizes multiple information systems to accurately enter and retrieve patient information required for electronic patient scheduling and for the maintenance of accurate and current patient information.
- 3. Clerical Support
- 3.1 Assists with inbound call reception, appropriate response and routing using inbasket messaging when primary telephone agent lines are busy.
EDUCATION
High School Diploma or General Education Degree (GED). AssociateDegree in Business or Healthcare Sciences / Administration preferred, or equivalent healthcare experience. Familiarity with medical terminology required.
EXPERIENCE
Two to three years of relevant or equivalent medical office experience in direct coordination and managing of patient appointment scheduling in an outpatient Healthcare environment required. Individual must have computer experience in such applications as Word, Excel, PowerPoint etc. Patient interviewing and hospital medical insurance and third party experience preferred.
SPECIAL SKILLS
Excellent interpersonal skills, analytical abilities as it relates to the how and when of appointment sequencing, assessment of patient needs and urgency, and computer skills to assist with decision support. Incumbent must have the ability to effectively communicate with referring physicians and nursing professionals and leadership in identifying the patient clinical needs to maximize the coordination of the appointments to be scheduled. Individual must have the ability to problem solve and work independently in making decisions understanding position guidelines and expectations.
