Position Overview:
CrystalCare ABA is seeking a detail-oriented and compassionate Intake Coordinator and Office Assistant to join our team. In this role, you will be the first point of contact for new clients, guiding them through the intake process and supporting our administrative operations. This position is ideal for someone with strong organizational skills, a customer-service mindset, and a desire to make a positive impact in the field of Applied Behavior Analysis (ABA).
Key Responsibilities:
Client Intake Coordination:
- Handle inquiries from prospective clients, providing information about our services and answering initial questions.
- Guide new clients through the intake process, including gathering necessary documentation, scheduling assessments, and ensuring all intake forms are completed accurately.
- Maintain regular communication with clients and families to provide updates on their intake status.
Administrative Support:
- Manage phone calls, emails, and correspondence, ensuring all inquiries are handled promptly and professionally.
- Assist with scheduling, data entry, and filing, as well as maintaining organized client records.
- Support other office staff with daily tasks, including preparing documents, handling mail, and ordering office supplies as needed.
Insurance and Billing Assistance:
- Verify insurance coverage for prospective clients and assist with processing initial billing information.
- Work with the billing team to ensure accurate client information is entered into the system.
Team Collaboration:
- Coordinate with BCBAs, therapists, and other staff to ensure a smooth intake process and address any scheduling or administrative needs.
- Provide excellent customer service to clients, families, and staff members alike, fostering a welcoming office environment.
Pay Range:
- $19 - $23 per hour, based on experience and qualifications.
Qualifications:
- High school diploma or equivalent; additional education or training in healthcare administration, customer service, or office management is a plus.
- Prior experience in a medical, behavioral health, or customer service role, preferably with intake or front-desk responsibilities.
- Strong communication skills, both written and verbal.
- Excellent organizational skills with high attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with learning new software systems.
- Compassionate and professional demeanor, with the ability to handle sensitive information confidentially.
