Intake & Waiver Supervisor
DESCRIPTION: Under the direction of the Executive Director, the Intake & Waiver Supervisor will welcome and support new consumers through the intake process and assist them with gaining access to MSSCA services. This position will serve as the agency point of contact for Care Coordinators to assure that Support Plans are complete, comprehensive, and timely in order to meet consumer needs and avoid gaps in services. This position also provides program support to the Community Supports Department by quality assuring service documentation to meet Medicaid regulations and State standards, as well as, ensuring the availability of and access to individualized service note templates. This position will also supervise the Records Specialist and File Clerk.
The Intake & Waiver Supervisor will perform the following essential responsibilities:
- Support consumers to access desired services by conducting the intake process to include conducting an initial assessment of needs and requested services, obtaining supportive documentation, and assisting with Medicaid eligibility requirements.
- Serve as the agency point of contact for Care Coordinators and relay pertinent information.
- Facilitate the timely renewal of Support Plans by tracking the progress toward plan submission/approval and reviewing plans for completeness prior to submission.
- Provide training and technical assistance to Frontline Supervisors on writing measurable goals and objectives.
- Track monthly Medicaid eligibility and troubleshoot any ongoing Medicaid issues with Care Coordinators and/or Department of Public Assistance (DPA).
- Assist families with referrals to DDRC for assistance with completing annual Registration and Reviews (R&R) to remain active on the DD waitlist
- Develop a monthly status report for the Service Delivery Team (Quality Assurance, Finance, Community Supports and Executive Director).
- Monitor agency documentation to assure compliance with Medicaid regulations and Division of Senior and Disability Services standards.
- Review service notes for correct service utilization and report any discrepancies to the Frontline Supervisor (FLS) and DSP.
- Regularly communicate with Community Supports staff regarding service documentation and quality assurance activities.
- Perform the duties of a Therap program administrator.
- Train new and existing employees (DSPs and FLSs) on service note documentation requirements and how to document service notes using Therap.
- Provide ongoing support and supervision of Records Specialist and File Clerk.
- Act as an agency resource on current waiver practices and regulations.
- Perform other duties to support the Quality Assurance Department and the agency.
- Perform duties in a manner that promotes health, safety, and HIPAA compliance.
HOURS OF WORK: Full-time, 40 hours per week, Mon-Fri 8-5

MINIMUM QUALIFICATIONS:
- Education: High School Diploma or GED.
- Experience and Skills: Prior work experience utilizing time management and organizational skills. Three years of experience providing services for person with developmental disabilities. Demonstrated computer-based knowledge in Microsoft Word and Excel. Prior work experience in organizing, evaluating and presenting information orally and in writing. Prior experience that demonstrates knowledge of medical and behavioral conditions experienced by individuals accessing HCB Waivers.
- Pre-hire requirements:
- A current TB test.
- Valid Alaska driver's license.
- Recent three (3) year driving record and proof of automobile insurance must be submitted prior to employment.
- Successful candidates must submit to a criminal background check as required by state regulation which includes providing 1 clear fingerprint card before hire.
