Intermediate Accounts Payable Specialist

The Intermediate Accounts Payable Specialist will follow the proper company procedures, answer a high volume of incoming calls as well as responding and resolving incoming emails within the established time frame as defined by AP management. The AP Specialist will also maintain good verbal communications and interpersonal communication with internal and external customers including office personnel and management. They will also monitor and action items in the Customer Service email account and execute and run reports as necessary out of company procurement system (Basware) and ERP (Oracle) in order to perform reconciliations of vendor accounts.
Essential Duties and Responsibilities:
- Respond to a high volume of customer inquiries via phone and email in a courteous, professional manner and within the time frame metrics as defined by AP management while enhancing customer relations.
- Assist AP management by assembling and presenting any requested information necessary for the preparation of monthly financial statements.
- Ensure timely follow up within the established time frame defined by AP management.
- Properly categorize and file resolved emails as defined in the processes.
- Properly log all incoming and outgoing calls in the department call log
- Full knowledge and understanding of the Accounts Payable workflow and where to locate items in the process.
- Access banking portal as required in order to retrieve payment information for purposes of resolving internal/external customer inquiries.
- Work effectively in high stress situations and able to meet strict deadlines.
- Assist in all internal and external audit requests as needed.
- Assist in ensuring month end tasks are completed by the established deadline of AP management.
- Reconcile Vendor statements utilizing a variety of Oracle reports as necessary to complete.
- Assist in training of new or temporary staff in the proper procedures for Customer Service.
- Must remain current with Accounts Payable Policies and Procedures.
- Perform fundamental mathematical computations and tabulate data using office machines as necessary.
- Due to the nature of the department and department function, excellent attendance is required. Must be present and available to work no less than 98% of all scheduled workdays.

Minimum Qualifications:
Education/Licensing/Certification:
- High school diploma or GED required.
Experience:
- Three-five years of experience in high volume transaction processing unit in accounts payable required.
- Full cycle accounts payable knowledge required
- Minimum 2 years Customer Service experience
- Oracle experience highly preferred.
Knowledge and Skills:
- Prior experience with purchasing module software preferred.
- Experience with MS Office Suite preferred.
- Work effectively with leadership, co-workers and members of the public.
- Reasoning ability and mathematical skills.
- Must be detail and deadline oriented and focused.
- Fundamental accounting concepts required.
- Must possess strong problem-solving skills.
- Must be a self-starter and self-motivated.
