Inventory & Procurement Specialist - Westrock Coffee

The Inventory and Procurement Operations Specialist is a key leader within the Equipment and Parts division, responsible for managing internal customer orders and coordinating across multiple teams to ensure seamless customer installations and service experiences. This role involves working closely with service managers, service advisors, and account managers to process internal orders, enter install requests, manage PO invoicing, and handle non-equipment orders. The Senior Purchasing Specialist supports cross-team collaboration to optimize processes and enhance overall customer satisfaction.

Key Responsibilities:

· Manage internal customer orders and coordinate with relevant teams to ensure timely and accurate processing.

· Collaborate with service managers and service advisors to facilitate smooth customer installations, ensuring all necessary parts and equipment are available and delivered on time.

· Enter install order requests into the system after reviewing incoming internal orders from account managers, ensuring alignment with customer needs and company standards.

· Coordinate with account managers, sales teams, and field service teams to resolve any issues and ensure a seamless customer experience for installations.

· Process non-equipment and non-service orders, such as smallwares and consumables, maintaining a high level of accuracy and attention to detail.

· Handle PO invoicing for all orders, ensuring timely and accurate billing to maintain financial accuracy and support cash flow management.

· Prepare and analyze daily, weekly, and quarterly reports on order status, inventory levels, supplier performance, and financial metrics to support operational and strategic decision-making.

· Foster cross-team interactions and communication to ensure all departments are aligned and working towards a seamless customer experience.

· Monitor inventory levels and coordinate with the inventory team to maintain optimal stock levels, supporting both installation needs and regular replenishments.

· Support the Inventory & Procurement Manager by assisting with strategic initiatives and operational improvements to enhance procurement and order processing efficiency.

· Lead or participate in cross-functional projects aimed at improving internal order processes and customer satisfaction.

· Maintain organized records of all transactions, orders, and inventory movements in accordance with company guidelines.

· Ensure compliance with company policies, industry standards, and regulatory requirements in all activities.





· 3 years of experience in a purchasing, inventory management, or customer service role, preferably in an equipment or parts warehouse environment.

· Strong understanding of internal order processes, PO invoicing, customer service, and inventory management.

· Proven ability to work collaboratively across multiple teams and departments.

· Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and priorities in a fast-paced environment.

· Proficiency in inventory management systems, ERP software, and invoicing systems.

· Strong analytical and problem-solving skills, with a focus on continuous improvement.

· Effective communication and interpersonal skills, with the ability to work effectively with diverse teams to achieve common goals.

· Ability to make strategic decisions and manage operations in the absence of the Inventory & Procurement Manager.

Physical/Mental Requirements:

· Ability to sit for extended periods, twist the body, reach with hands and arms, and operate a computer and phone.

· Good arm, hand, and finger dexterity; ability to utilize visual and auditory senses as needed.

· Ability to work in a demanding, fast-paced environment, handle multiple tasks simultaneously, and possess outstanding communication skills.

Work Environment:

· Fast-paced manufacturing office environment. Requires occasional standing, walking, and lifting as part of daily operations.
