About the Job
Work alongside the CDIO to promote and ensure cohesiveness amongst IS team. Assists with managing outstanding competing priorities and deadlines while responding to urgent business needs of the department and organization. Works with the CDIO�s to evaluate needs and provides problem resolution alongside all direct reports. Communicates and escalate any issues or risks related to IT services and applications to owner, sponsor, and/or support management such as IT, Facilities, Finance etc. Directed by policies, organized and structured in processes and supporting procedures that are performed by an organization to design, plan, deliver, operate and control IT services. Functional areas include communications change management and customer service. Decisions and problem solving require the application of subject matter expertise and a firm understanding of policies and procedures. Utilizes expertise and leadership skills to direct staff and to resolve issues to ensure project goals and requirements are met.

Leadership and Management
- Ensures projects assignments are effectively assigned, executed, and monitored.
- Responsible for maintaining the intake form for ongoing project prioritization.
- Responsible for developing agendas and co-leading daily meeting huddles by IT vertical.
- Synchronize all Project related reports from the start, including planning, gathering information and resources, project execution tracking and resolving, maintenance to a formalized project closure.
- Evaluate all the Project�s progression and provides recommendations for improvements to make the work efficient.
- Responsible for developing agendas and presenting at other leadership-facing meetings, including with physicians.
- Developing agendas and facilitating outward-facing meetings, including with physicians and business units.
- Responsible for developing and creating Board presentations (and other presentations as needed).
- Demonstrates effective verbal and written communication skills.
- Ensures employees adhere to policies and procedures.
Availability Management:
- Stakeholder to ensure appropriate planning, schedule, execution and follow up for all technology changes to minimize disruption to operations.
- Developing and streamlining internal IT communications, including use and development of digital channels.
- Responsible for communicating IT-related outages and incidents to the health system.
- Ensure processes are followed to maintain operational availability of computing systems.
Planning and Skill Development:
- Facilitates, supports and documents strategic planning activities necessary to ensure appropriate technologies are in place to meet current and future needs of the health system.
- Responsible for maintaining the IT digital roadmap.
- Assist in shaping the organizational structure of projects within the IT department, and communicating changes at both a departmental and team member level, while delegating tasks accordingly.
- Achieve departmental goals and objectives in support of overall IS strategic plans.
- Responsible for maintaining list of IT staff certifications to ensure all certs are kept up to date.
- Ensures personnel are adequately trained to use the applications, tools, and technologies for them to perform their jobs.
- Point of contact for all CDIO direct reports, providing guidance and assistance when necessary to ensure department goals are met.
- Facilitates benchmarking surveys and management of industry-related (HIMSS, CHIME) surveys and certifications, including onsite surveys.
Customer Service / Project Portfolio Management:
- Responsible for helping to maintain digital audience engagement platforms for both IT-related content and IT updates and developments, in line with the Beacon�s communications strategy and brand.
- Responsible for creating and sending systemwide communications specific to IT initiatives to senior leadership and medical staff.
- Assist Customers when appropriate with vendor needs including product evaluations, contracts, pricing, hardware/software, services and training.
- Work alongside the senior leaders to plan and develop scope, deliverables, required resource, work plan and timing for new initiatives.
- Ensure timely and smooth implementation of technologies.
- Help to define clear goals and expectations to support prioritization of work in response to business needs and systematic roll-out of applications and technical builds.
Fiscal Responsibility:
- Helps to develop department budgets, monitors and effectively manages expenses.
- Works with staff to make effective use of IT assets.
- Deploys tools, technologies, and strategies that enhance operational efficiency.
Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:
- Completing other job-related assignments and special projects as directed.
ORGANIZATIONAL RESPONSIBILITIES
Associate complies with the following organizational requirements:
- Attends and participates in department meetings and is accountable for all information shared.
- Completes mandatory education, annual competencies and department specific education within established timeframes.
- Completes annual employee health requirements within established timeframes.
- Maintains license/certification, registration in good standing throughout fiscal year.
- Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
- Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
- Adheres to regulatory agency requirements, survey process and compliance.
- Complies with established organization and department policies.
- Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience
- The knowledge, skills and abilities as indicated below are normally acquired through the successful completion of a Bachelor's Degree in Business, IS, or a related field. A Master's Degree is preferred. A minimum of five years of progressively responsible experience required.
Knowledge & Skills
- Demonstrates the administrative ability necessary to direct, coordinate, and enhance the System's IS Communications Project Leader functions.
- Demonstrates the interpersonal and communication skills (both verbal and written) necessary to interact effectively with all members of BHS and representatives of outside organizations/agencies.
- Demonstrates leadership, decision making, delegation, goal setting, conflict management, and schedule management skills.
- Shows software proficiency including Microsoft 365, SharePoint and email software.
Working Conditions
- Works in an office environment.
- Work may be assigned as hybrid or remote as approved by the CDIO.
