Overview
Summary
Position will assist with administrative functions for the Laboratory department including tasks in Pathology, Client Services and for Laboratory Management. Position performs the ICD coding, billing review and some billing entry of most Pathology/Cytology specimens in computer systems. Position also evaluates and follows up on potential discrepancies that are observed during review.
Experience
Experience in medical office or laboratory setting is highly preferred. Medical diagnosis coding or billing experience/knowledge is preferred.
Education
High School Diploma required. Degree in medical secretarial science, or business school administrative technology or extensive specific experience in pathology/cytology billing and coding is preferred. Medical terminology and billing/coding experience is preferred.
Essential Functions
- Types and prepares Addendum reports in a timely and efficient manner.
- May be required to type letters, other correspondence, meeting minutes. Memos or policy and procedures for lab supervisory or managerial staff.
- May be required to answer departmental phones and perform appropriate follow up in a polite and Service Excellence manner
- Stays up to date regarding updates or changes in pathology /cytology or laboratory practices.
- Performs billing reviews and authentication of billing charges for pathology and cytology samples
- Will assist in other laboratory validation of billing processes or entry or review of charges
- Manages all forms of communication for the pathology department, including phone, mail, fax and electronic orders.
- May be required to assist Business Office personnel or patients with billing questions or problems. Inputs charges patients for anatomic pathology services (hospital and clinic) and assigns ICD disease codes for physician charges.
- Coordinates the referral / send out of specimens (blocks/ slides etc) for consultation, second opinions, research and other reasons. This includes assembling materials, associated correspondence, packaging and mailing the items. Maintains the send out log and assures the return of same materials.
- Pulls reports and slides for review by pathologists and surgeons, for comparison studies, for Tumor Board Conferences, and by request of members of Medical Staff.
- Schedules inter- and intradepartmental meetings for Pathologists and Lab Administrative Director and distributes the Pathology call schedule and Disaster and other staff listings as required.
- Might initiate purchase orders and orders supplies for pathology office.
- May be responsible for typing, review and assembling departmental policy and procedure manuals.
- May assist Laboratory Management with filing, coordination and preparation for meetings, report preparation and general duties as requested.
- May assist in Lab Client Services with their duties.
- May assist Histology with their non-technical duties
- May be required to transcribe dictation by Pathologist or other lab personnel for pathology or cytology reporting.
- Performs other duties as assigned.
