Job Description
The Lab Services Coordinator assumes primary responsibility for maintaining personnel files and records for all department staff, assuring they meet regulatory standards related to licensure, education and background screenings. This position provides support for all aspects of human resources, payroll, education, orientation and staffing/scheduling activities related to the department staff. This position provides clerical, typing, administrative and scheduling assistance for director, clinical manager and assistant clinical managers. This position responsible for all payroll activities for laboratory payroll. The Lab Services Coordinator oversees the Baptist Hospital's courier service. This includes staff scheduling, monitoring and scheduling routine auto/truck maintenance, manage up team member performance, coach couriers and client services on how to build and sustain loyalty with our clients, assist with repairs and purchasing new vehicles, manage courier routes and nursing home stat team usage to minimize taxi expense, coordinate courier needs of other departments (payroll, BMG, imagining, pharmacy, IS, administration), promote positive departmental morale. This position provides support for hospital wide initiatives like the OP-ambulatory surgery patient experience team and taxi usage.
Responsibilities
- Responsible for supporting and assisting the laboratory director with various administrative duties.
- Under the supervision of the director, performs a variety of administrative functions, including, but not limited to, answering phones, typing, filing, photocopying, etc.
- Performs all responsibilities/duties required by the department.
- Responsible for preparing and sending various reports accurately and ensuring that they are provided within the time frame indicated by the director and/or managers.
- Coordinates the bright ideas for the laboratory admin and laboratory departments.
- Performs various administrative duties for the managers of the laboratory division.
- Order office supplies and monitor orders for lab admin and other lab departments as needed. Calls for service and supplies as need for laboratory equipment.
- Processes and tracks all invoices received in the laboratory. Process and tracks contracts.
- Oversees the taxi expense account and prepares account information to the director and manager (s).
- Makes arrangements for conferences and meetings for director and managers, following through with coordinating materials.
Qualifications
Minimum Education
- High School Diploma or Equivalent Required
Minimum Work Experience
- 3 years experience secretarial with administrative or supervisory responsibility. Required
Required Skills, Knowledge and Abilities
- Must be proficient in Word, Power Point, and Excel.
- Knowledge of general office equipment.
- Ability to function with frequent interruptions.
- Detail-oriented.
- Ability to work with and relate to people at all levels.
