Paradigm Properties Group oversees three student housing communities near the campus with 183 apartments and roughly 550 residents. Plus, a small community about a half hour south with 28 duplexes.
Description of Role:
Leasing Consultant/Administrative Assistant must be able to successfully interact with prospective and current residents in order to achieve maximum occupancy. The Leasing Consultant/Admin Assistant is responsible for the leasing process from introduction to the actual occupancy of the resident and must maintain communication throughout the tenancy of the resident.
Tasks:
Greets all leasing visitors and determines if the community meets the potential renters’ qualifications
Provides information about the apartments and the community to prospective renters and schedules tours of the community
Accurately and efficiently prepares and assists with all leasing paperwork including, but not limited to, applications, lease agreements, employment, credit and background checks, and lease move-in packets
Effectively explains all lease and community policies to new and current residents
Collects security deposits, rent, and all other fees associated with leasing business
Maintains an accurate and in-depth knowledge of all aspects of the community, particularly in areas such as rent and pricing information, vacancies, availability, lease expiration's, square footage, etc.
Completes market surveys as requested by the Property Manager, monitors area trends and stays current on the needs of prospective renters. Maintains a friendly working relationship with the leasing staff of neighboring communities
Stays aware and informed of unit statuses and availability. Monitors current and future vacancies to proactively react to future occupancy needs. Analyzes concerns with apartments that are “slow to lease” and offers recommendations to the Property Manager
Inspects vacant apartments on a regular basis to ensure that they remain “show ready”
Supports the overall marketing efforts of the Property Manager and offers input and suggestions regarding promotions, advertisements, and other various strategies. Regular prepares and posts to social media accounts on behalf of community
Assists in implementing resident retention and renewal programs
As needed, becomes active in the local business community, and develops a rapport with the residential community
Responsible for leasing apartments at an acceptable percent of total prospects to be determined by the Property Manager
Understands and complies with Fair Housing Laws
Assures curb appeal and community appearance is acceptable by visiting the property and conducting inspections, alerts Property Manager to any issues and creates service orders for any repairs needed
Creates service orders and stays abreast on all aspects of service orders, including, but limited to, communicating with the maintenance department, creating follow up service orders, communicates delays to residents, ordering supplies from vendors, scheduling subcontractors. Keeps Property Manager updated of any situations associated with service order problems
Stays abreast of ordering needs in the office and the maintenance department, reports order requests to Property Manager or by purchase order request
Communicates with all residents in a friendly and professional manner, conducts follow up activities in order to establish and maintain positive resident relationships
Enters and tracks all payables, keeps rental accounts up to date in the software program, maintains all files, answers phones, returns voicemails, responds to emails, text messages, social media direct messages, google reviews, etc.
Assists with all aspects of turnover, including, but not limited to, inspect and take photos of apartments, create service orders, schedule subcontractors, track unit progress, setting up furniture, order and pick up supplies, assist with service orders when necessary
Accompanies vendors and subcontractors to the property and apartments as needed
Transports prospective renters or subcontractors via personal car throughout property grounds; may run errands when needed
Maintains the cleanliness of the rental office on a weekly basis at minimum
Maintains open and consistent communication with the Property Manager and fellow coworkers
Helps to maintain a positive and friendly work environment
Skills and Requirements:
1+ year experience leasing preferred
2+ year experience customer service
Must be prompt, on time to work, and have good attendance
Excellent communication skills
Strong customer service skills and professional phone manner
Demonstrate excellent organizational skills with the ability to prioritize and work effectively on multiple tasks in a fast-paced, demanding environment
Demonstrate proficiency with Microsoft Word, Excel, and Outlook
Demonstrate proficiency with a variety of social media platform
Must be able to walk apartments and grounds, including stairs
Occasionally requires lifting 30 pounds or less
Reliable smart phone required and ability to use or learn required software
Valid driver’s license required
Reliable transportation and proof of insurance
Work schedule:
Full time, Monday-Friday, 8:00am-4:30pm --- summer hours 7:30am-4:00pm, mid-May through mid-July only
Occasional weekends, depending on rental and showing needs
August apartment turnover, MANDATORY overtime (includes Saturdays and Sundays), and no time off during the turnover period --- turnover period runs from late July through September
