The Leave Management Specialist is responsible for performing administrative, operational, and functional duties related to employee leave of absence, disability, and workers’ compensation programs. The Leave Management Specialist plays a vital role in ensuring that the organization remains in compliance with all state and federal absence management requirements.
Responsibilities
DUTIES, RESPONSIBILITIES, AND ESSENTIAL FUNCTIONS• Manages programs and policies related to leave management, including but not limited to coordinating and documenting leave requests.• Maintains communication with team members on leave statuses and their responsibilities to facilitate a smooth and timely return to work.• Educates team members and their leadership on initiating FMLA/Disability/Workers’ Compensation claims with third party vendors, Federal and State leave of absence and sick time laws and regulations, and FREE’s internal leave of absence procedures and policies.• Serves as an active partner with team members to discuss and review their eligibility for any leave or accommodation requests.• Submits injury reports and maintains accurate records of work-related injuries to all relevant vendors and carriers.• Maintains the return-to-work process for employees returning from FMLA, Workers Compensation/Disability, and other leaves.• Partners with HR Employee Relations department to review leave and accommodation situations to maintain internal equity and compliance with federal and state labor lows, as needed.• Submits and manages biweekly payroll entry of team members on continuous leaves ofabsence through electronic payroll system.• Processes Paid Time Off adjustments and maintains documentation of reimbursement checksfor Disability and Workers Compensation benefits.• Distributes correspondence to external departments for leave of absence tracking and systemaccess oversight.• Coordinates meetings with Leave Management/Workers’ Compensation vendors totroubleshoot claim discrepancies, errors, or participant experience issues.• Ensures that all required documentation (paper and electronic) is completed /processedappropriately, in a timely manner, and meets quality and compliance thresholds.• Performs other duties as assigned.
