CRE Legal Administrative Assistant
Seeking a Legal Administrative Assistant in Real Estate with solid administrative and organizational skills. The ideal candidate is expected to work comfortably under pressure with tight deadlines in a fast-paced environment. The candidate must have 5+ years of experience as an Executive Assistant to a Partner or Chairperson of a mid-to-large-sized law Firm.
The candidate must be detail oriented and demonstrate excellent written and verbal communication skills with a keen interest in providing purposeful support to Attorneys and Paralegals. Heavy scheduling of appointments and meetings, preparation for internal and external and client meetings, itineraries, travel and community activities. Must demonstrate confidence and initiative with a proactive approach to maintaining schedules and preparing files in advance and supporting the Partners/Attorneys in their daily activities.

Responsibilities:
- Provide high level administrative support to two (2) busy Partners and one (1) Associate.
- Assist with tracking and reporting expenses.
- Assist with business development initiatives.
- Arrange travel and accommodations as needed.
- Schedule, arrange and prepare and distribute materials for meetings and conference calls.
- Maintain and organize electronic and hard copy filing systems.
- Draft correspondence and other materials as requested, respond to written and verbal inquires.
- Type, prepare and proofread legal and other documents.
- Receives incoming communication on behalf of Attorneys, reviews contents, determines importance and summarizes and/or distributes to appropriate staff.
- Engage in special projects and other duties as assigned.
- Obtain relevant information from other organizations or agencies.
- Performs additional and/or other related duties as assigned.
- At least five (5) years of related experience.
- Strong administrative, organizational and time management skills.
- Able to type 65+ wpm.
- Strong writing and proofreading skills.
- Systematic knowledge of databases and tracking systems.
- Excellent organizational skills and detail oriented and adept at managing multiple tasks simultaneously.
- Ability to work under pressure and meet deadlines.
- Ability to work independently and as part of a team.
- Must be a self-starter, take initiative and work in a fast-paced environment.
- Excellent written, verbal communication and interpersonal skills.
- Proficient in Microsoft Office Suite (i.e. Word, Excel, PowerPoint and Outlook) with the ability to learn new or updated software.
- Proficient in Document Management software a plus.
