Premiere Miami boutique criminal defense firm located in class A office space in the heart of Coconut Grove is seeking a full time, in-office, Legal Assistant who can also assist with some administrative duties and office management. The firm is comprised of 3 attorneys and at least one additional support staff. The successful candidate must have prior experience in the legal field, preferably some experience in criminal law. We are looking for candidates with outstanding management, interpersonal and organizational skills. Legal assistant duties include client communication, e-filing in State, Federal and Appellate courts, e-discovery organization and calendar coordination. Office manager's duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. A successful candidate should have experience with a variety of office software (email tools, spreadsheets and databases) including working with case management software (OneDrive, Practice Panther and Clio).
Responsibilities
- Serve as the point person for office manager duties including mailing, supplies, equipment, bills.
- Schedule meetings and appointments
- Ensure that all fees are invoiced and paid on time
- E-filing in all courts in Florida and Federal courts around the country
- Trial preparation: Set depositions, send subpoenas, witness coordination
- E-Discovery organization and storage
- Calendar and scheduling coordination
- Client Communication
Requirements
- Proven experience as a legal assistant
- Proficiency in MS Office (MS Excel and MS Outlook, in particular) OneDrive, Dropbox, case management and trial software.
- Familiarity with email scheduling tools.
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Proficiency with Social Media a plus
- Bi-lingual (English/Spanish)
