Global law firm, with offices nationwide, seeks a skilled Executive Legal Assistant to provide top-level administrative and secretarial support to lawyers and legal staff.
The Executive Legal Assistant will manage daily operations and ensure smooth workflow in a fast-paced environment.
Executive Legal Assistant will maintain effective office procedures and build positive relationships with management, coworkers, and clients.
Key Responsibilities:
**Travel Arrangements:** Organize domestic and international travel, including flights, hotels, and transportation. Prepare and track expense reports.
**Expense Management:** Handle reimbursements for firm and client expenses using an electronic accounting system.
**Calendar Management:** Maintain and manage electronic calendars, schedule meetings, and organize conference rooms.
**Email Management:** Monitor and manage emails, highlighting important messages and maintaining an email filing system.
**Contact Management:** Update and manage contact lists in Outlook and maintain client contact lists.
**Phone Management:** Screen and direct phone calls, schedule conference calls, and handle client inquiries.
**File Management:** Maintain and update client litigation files and other documents using an electronic records system.
**Billing Coordination:** Work with the accounting department to track client bills, analyze billing data, and respond to client requests.
**Time Entry:** Enter and track lawyers' time in an electronic billing system, proofreading entries for accuracy.
**Document Proofreading:** Proofread and revise documents for accuracy and prepare various types of correspondence.
**Quality Control:** Oversee work from support services to ensure prompt and accurate document production.
**CLE Management:** Manage lawyers’ Continuing Legal Education (CLE) hours and reporting.
**Additional Tasks:** Compile notebooks and exhibits, prepare documents for bar association activities, and perform other administrative duties as needed.
Qualifications:
Required
High school diploma or GED.
3+ years of related work experience or equivalent combination of education and experience.
Proficiency in Microsoft Word and familiarity with legal terminology and document formats.
Preferred
Experience in a law firm.
Bachelor’s degree.
Ability to type 50-60 words per minute.
