Summary
The Legal Liaison plays a dual role, balancing marketing, billing, and medical records management responsibilities. This individual is responsible for maintaining relationships with the referral community, including attorneys, workers’ compensation groups, physician offices, and internal departments, to drive profitable case volume for AVALA, the AVALA Physician Network (APN), and affiliated partners. The role's significant contribution to business growth is underscored by its involvement in processing requests to release patient medical records in compliance with AVALA policies, HIPAA regulations, and other legal requirements. This position ensures timely, accurate, and confidential handling of medical records while fostering strategic partnerships to support business growth.
Essential Duties and Responsibilities
· Collaborate with the Executive Director of Marketing & Experience and the Health Services Marketer to implement strategies and processes that achieve business growth objectives.
· Develop cross-department processes to acquire needed files to send to attorney and workers’ compensation contacts.
· Establish and maintain relationships with the APN Office Managers and affiliated partners.
· Support the tracking and analyzing of referral sources, maintaining a database for ongoing relationship management through accurate and detailed reporting.
· Provide feedback and insights to the Executive Director of Marketing & Experience and the Health Services Marketer.
· Ensure compliance with confidentiality policies and state and federal regulations, including HIPAA, in all outreach efforts.
· Process requests for the release of patient medical records from attorneys in accordance with AVALA policies and legal requirements.
· Ensure the proper authorization is obtained before releasing medical records, adhering to HIPAA guidelines.
· Maintain detailed records of all requests, releases, and communications related to the process, ensuring accuracy and confidentiality.
· Handle sensitive information with discretion and professionalism, coordinating with internal departments to fulfill requests efficiently.
· Retrieve, scan, copy, and securely transmit medical records while ensuring patient privacy and data security.
· Address inquiries and provide information regarding medical records releases courteously and efficiently.
· Monitor compliance with all federal, state, and local laws regarding the confidentiality and release of medical records.
· Other duties as assigned by the Executive Director of Marketing & Experience to support the Marketing Team and business growth.
Qualifications
· Bachelor’s degree in business, marketing, or a related field.
· Health Information Management (HIM) degree and / or HIM Certification (RHIT or RHIA)
· Ability to travel locally for meetings with AVALA, APN Office Managers, and affiliated
partners, pick-up/drop-offs to attorney offices, and attend events as needed.
Experience
· Minimum of 1 to 2 years’ experience in healthcare sales, marketing, or medical records management, with a strong preference for candidates familiar with HIPAA regulations and healthcare compliance.
· Paralegal experience a plus.
Skills
· Extremely strong interpersonal, verbal, and written communication skills.
· Ability to analyze market opportunities and work independently in marketing, billing, and records management environments.
· Preferred proficiency in Microsoft Office Suite, Google Drive, electronic health record (EHR) systems, and CRM/database management.
· Excellent organizational and time management skills, with the ability to handle multiple tasks and maintain confidentiality.
· Must comply with confidentiality policies and federal/state regulations, including HIPAA.
· Ability to travel locally for meetings with referral sources and attend events as needed.
