About the Role As an Intellectual Property Legal Secretary at Hoffmann & Baron, you will play an integral role in supporting our attorneys in the patent and trademark prosecution process. You'll be responsible for handling a wide range of tasks related to the preparation, filing, and prosecution of patent and trademark applications in the United States Patent and Trademark Office. Key Responsibilities : Assist with the filing of U.S. patent applications and prosecution documents via the USPTO electronic filing system. Draft and manage client correspondence, providing updates on the status of applications and patents. Draft correspondence to clients reporting Office Actions and prepare responses to Notice to File Missing Parts. Prepare and file Information Disclosure Statements (IDS) and related documentation. Process payments of issue fees and ensure timely payment of all required fees. Prepare and format legal documents, including briefs, pleadings, correspondence, and other legal documents (including Table of Authorities/Contents). Assist in e-filing with state and federal courts as required. Accurately enter attorney time into the firm's billing system. Qualifications: Minimum 2+ years of experience in patent and/or trademark prosecution, with a solid understanding of USPTO rules and procedures with litigation experience being a plus. Strong proficiency in the USPTO's electronic filing systems for patents and trademarks, as well as other relevant databases. Ability to work efficiently in a fast-paced environment, managing competing priorities and deadlines. Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook, and experience with iManage Cloud. Exceptional attention to detail and superb proofreading, spelling, and grammar skills. A proactive, organized, and adaptable professional with a strong sense of initiative. Ability to communicate effectively and work collaboratively with attorneys, clients, and team members.
