About the Job
The Zaxby's Support Center is looking for a Legal Services Coordinator to support the Chief Legal Officer and Legal Services department. He/she will provide a wide range of general administrative duties in direct support of the Office of the Chief Legal Officer. This individual will provide administrative, clerical, and office support and act as the liaison between the company, its internal and external business teams, and the legal department.

This position is based in Atlanta, GA, and requires attendance in the office 4 days per week.

ESSENTIAL JOB FUNCTIONS
Essential duties may include but are not limited to the following:
- Serve as the initial point of contact for the legal department, both internally and externally
- Provide other administrative duties as otherwise required or needed
- Receive, review, and file/forward incoming correspondence as appropriate; maintain a filing system, including scanning, closing, and shredding/destroying of paper and electronic files
- Manage and maintain schedules, and calendars, and answer telephone calls (including responding to routine requests, determining who the appropriate attorney or personnel is for a particular matter, determining when calls require immediate escalation, making and returning calls, as needed, managing some calls independently)
- Assist with accounting and billing, including maintenance of the legal invoice tracker and preparing legal invoices for processing
- Coordinate travel arrangements, as needed
Legal Department Responsibilities
- Complete periodic audits of the department to identify redundancies and track productivity for future resource needs; provide reporting from the contract management system, as needed
- Manage contracts email account and respond to general requests including requests from business teams for copies of contracts that are filed in the repository/document library
- Responsible for ensuring documents are properly executed
- Assist with the archiving, uploading, categorization, reporting, and storage of contract files
- Receive and begin initial processing of company service of process per internal legal policies, including garnishments, records requests, notices of representation, and litigation.
- Proof, draft, and finalize various correspondence, legal documents, and presentations
- Gather essential information from team members to develop PowerPoint presentations that are relative to the department projects
- Collaboratively manage and prioritize workflow to ensure key performance indicators and service standards are met
- Display and maintain a sense of urgency and a high level of organization to manage numerous timelines and priorities across the legal team and from other departments.
KEY COMPETENCIES
- Current Notary Public certification required (or willing to complete process upon hire)
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Outstanding interpersonal skills and telephone etiquette
- Extremely detail-oriented and able to successfully multi-task
- Ability to work long hours, as needed
- Consistent application of sound judgment and responsible decision-making
- Ability to maintain the highest degree of confidentiality regarding all aspects of work at all times
- Extreme attention to detail is critical
- Excellent communication skills; both written and verbal
- Excellent documentation skills
- Ability to work independently as well as with a team
- Sense of urgency and awareness toward time-sensitive matters
- Project management skills with the ability to manage multiple priorities in a fast-paced work environment desired
EDUCATION AND EXPERIENCE GUIDELINES
- Education: Bachelor's degree in Business Administration or related field; or equivalent combination of education and experience
- Experience: 5+ years of experience working in a law firm or the legal field and/or providing high-level executive support
