Litigation Legal Administrative Assistant
Requirements:
- Seeking a junior level Litigation Legal Administrative Assistant
- Requires at least three (3) years of relevant experience from a mid-sized/large-sized firm in supporting fast-paced Attorney and Paralegal litigation activity.
- Preparing documents to form
- General corporate housekeeping
- Draft various legal documents and pleadings
- Handle discovery requests and responses.
- Manage document organization and electronic retrieval.
- Prepare for court appearances and assist in filing court documents.
- Develop pleadings binders and participate in strategy conferences.
- Communicate with clients, opposing counsel, and third parties.
- Perform document management in litigation matters.
- Track deadlines for various legal tasks.
- In overview administratively will: answer client calls, manage caseloads, maintain accurate legal, expense and billing records, as well as do a variety of administrative tasks such as drafting, proofreading, recording, monitoring and calendaring trial and court deadlines.
- Scheduling of appointments and meetings, preparation for internal and external and client meetings, itineraries, and community activities.
- Arrange travel and accommodation as needed.
- Schedule, arrange, prepare, and distribute materials for meetings and conference calls.
- Maintain and organize electronic and hard copy filing systems.
- Candidate should be a proactive self-starter with an excellent attention to detail and follow-up.
- Requires a strong proficiency in Microsoft Office applications; tech-savvy with solid Excel and highly skilled at document editing and providing administrative support.
- Must be able to independently prioritize and manage multiple tasks efficiently and satisfactorily meeting deadlines.
Requirements:
- 3 years experience in Legal Secretary Administrative Litigation support with a preference towards Civil and Real Estate practice support
- Bachelors degree
- Proficiency in MS Office for Mac (MS Word, Excel, PowerPoint and MS Outlook),
- Proficient in Document Management software a plus
- Able to type 65+ wpm
- Strong writing and proofreading skills.
- Systematic knowledge of databases and tracking systems
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills; and
- Strong organizational and planning skills in a fast-paced environment.
